Meet Your Team: Japan Operations & Support

At adjoe, our operations team serves as the vital backbone of our global growth. Based in Tokyo, you will work directly with our Country Manager Japan to ensure our local office runs seamlessly while supporting our Sales team to thrive. You will also act as the primary operational bridge between our Tokyo team and HQ functional leads (Office, IT, HR, Finance, TA) in Hamburg. Combining local functional execution and business support, your work directly shapes our workplace culture and operational efficiency in Japan.

What You Will Do

• Office & Facility Operations: Manage day-to-day Tokyo office administration, vendor relationships, and inventory. Execute local procurement and IT asset ordering (e.g., laptops) to achieve availability and operational cost efficiencies.

• Local HR Administration & Employee Experience: Execute end-to-end local onboarding and offboarding, operate HR administration and documentation, ensure we act compliant according to local authority and our shareholders’ frameworks and administer monthly employee expenses. Serve as an approachable, trusted point of contact ("open ear").

• Sales & Business Enablement: Provide direct operational support to the Sales team by organizing and updating key data tracking (Google Sheets, CRM cadence), assisting with partner outreach, and coordinating client dinners, venue bookings, and team events.

• Cross-Functional & TA Assistance: Provide flexible overflow support to Talent Acquisition with potential local vendor relations, and Japanese/English translation of key documents.

Who You Are

• You have 3+ years of professional experience in combining operational and administrative support, such as office management and HR administration, ideally within an international, fast-paced tech or scale-up environment.

• You possess native-level fluency in Japanese (written/spoken) for local employee interactions and labor compliance, alongside business English proficiency (B2+) to communicate effectively with HQ in Hamburg.

• You are hands-on with core HR execution (employee lifecycle operations from on- to offboarding, labor law, performance management, document maintenance, absence queries, and compliance) and bring an empathetic, people-focused approach; professional HR experience beyond the core functions and cross-border local labor law knowledge is a strong plus.

• You are highly organized and tech-savvy, proficient with Google Workspace (especially Google Sheets) and CRM/HRIS tools, with an eye for detail and data hygiene.

• You bring a proactive, service-oriented "can-do" mindset - capable of juggling shifting priorities, solving operational bottlenecks, and supporting internal teams with discretion and warmth.
