We are looking for an Office Manager (50%) to make that experience exceptional.

This is a highly visible, hands-on role combining executive support, office management, events, and workplace experience. You will work closely with our CEO and leadership team, welcome international visitors, coordinate important meetings and events, and make sure the office runs smoothly—often anticipating what is needed before anyone asks.

What you'll own

Executive & Leadership support

• Provide trusted administrative support to the CEO and leadership team, including travel, expenses, meetings, and priority tasks.
• Coordinate executive and Board meetings: agendas, materials, logistics, minutes, and follow-up.
• Support executive visits, town halls and high-level meetings, ensuring everything is ready—from the room setup to the catering and technology.

Global meetings & events

• Take ownership of the planning and execution of major company events and global summits.
• Coordinate venues, suppliers, budgets, catering, and international travel.
• Support QBRs, Company-wide meetings, and other important internal gatherings.
• Organize hospitality and logistics for key customer, candidates, and stakeholder meetings.

HQ & Office operations

• Manage office supplies, kitchen amenities and inventory.
• Coordinate cleaning, catering, maintenance, facilities and other local suppliers.
• Act as Akselos' point of contact with our building owner and local facilities partners. Attend meetings and periodic assemblies.

Workplace experience & culture

• Help make Akselos HQ a place people enjoy coming to.
• Organize team-building activities, social events and local employee initiatives.
• Support customer workshops and commercial events.
• Keep colleagues informed about office activities, events and executive visits.

What we're looking for

You don't need to fit a traditional "Office Manager" profile. We are looking for someone who combines professionalism, initiative, and a genuine hospitality mindset.

You bring:

• 5–7+ years of experience in office management, executive assistance, administration, hospitality, facilities, or a similar role.
• Experience supporting senior executives or Leadership team members.
• Excellent organization and time-management skills, with the ability to work autonomously in a 50% role.
• Absolute discretion and sound judgment when dealing with confidential and sensitive matters.
• A natural host mentality—warm, welcoming, attentive, and solution-oriented.
• Strong digital skills with Google Workspace and/or Microsoft Office.
• Curiosity and enthusiasm for using AI and new digital tools to work smarter.
• Professional fluency in English; French at B2/C1+ level is a strong advantage.
• Based in or near the greater Nyon region, as this hands-on position requires an on-site presence.
