The Purchasing Officer role manages inventory, procurement, supplier relationships, order and shipping coordination, and quality assurance.
The role focus is to reduce stock outs & improve Delivery In Full On Time performance by maintaining inventory levels to meet demand by continuously analyzing stock on hand, sales trends, open orders, and supplier lead times.
- Inventory and Procurement: Responsibilities include monitoring stock, raising purchase orders, maintaining inventory systems, reporting supply chain performance, resolving stock and supplier issues, and inspecting imported products. Success measures include significant stock-out reduction, 100 percent DIFOT achievement, cost savings, maintained product quality, and accurate reporting.
- Shipping and Suppliers: The role manages orders through delivery, coordinates with freight and logistics providers, prepares shipping documentation, supports customs clearance, and maintains supplier data and product specifications. Targets include 98 percent of shipments within agreed lead times, documentation within 48 hours of dispatch, monthly DIFOT of at least 98 percent.
- Quality, Strategy, and Safety: Duties include inspecting inbound goods within 48 hours, addressing non-conformances, maintaining compliance with the Quality Management System and ISO9001:2015, supporting audits, implementing at least two process improvements annually, contributing to strategy execution, and following workplace health and safety requirements.
- Working Arrangements and Profile: The position has limited or low after-hours contact expectations, with employees encouraged to disconnect outside work hours. It involves internal and external relationships across purchasing, sales, administration, warehousing, customers, suppliers, subcontractors, and logistics stakeholders, and calls for purchasing or equivalent experience, strong analysis, negotiation, risk management, financial, planning, process, and relationship-building skills.
