    Job description

    In this position you love to dot your i’s and cross your t’s. You are highly detail-oriented and take pride in accurate, complete work and following consistent processes. Your customers are your internal team members in the multifamily residential portfolio.

    You will

    Resident Lifecycle / Leasing

    • Monitor and support internal auditing processes with respect to lease document accuracy, application of incentives, maintain records of missing documents and follow-up to receive documents from property team
    • Audit and enforce a high standard of accuracy for Yardi data and residential documentation
    • Prepare lease renewal packages for the residential portfolio, ensure documents are served and charges are posted in conjunction with property managers

    Rent & Financial Administration

    • Prepare and consolidate numerous weekly and monthly reports on a regular basis using consolidation of information from Yardi which will be for the benefit of property management, leasing and asset management teams
    • Participate in inputting invoices into Yardi in conjunction with AP clerk for portfolio
    • Laise with IPP Accounting on various tasks related to multifamily residential rentals

    Compliance & Legal Documentation (BC/AB)

    • Maintain strong working knowledge of BC RTA and Alberta RTA and be able to apply correct administration by jurisdiction
    • Regular auditing of resident insurance documentation to ensure maintenance of current proof of insurance
    • Maintain lease abstracts/tenant files and ensure documentation supports RTB/dispute resolution readiness
    • Track and manage strata/condo corporation compliance items where suites sit within condo buildings

    Reporting & Systems Administration (Yardi Voyager)

    • Maintain accurate rent roll, unit status, and lease data in Yardi
    • Generate weekly/monthly reports for PM and Director (occupancy, arrears, notices in progress)
    • Identify, document, and escalate Yardi data or configuration issues to the appropriate system administrator, IT resource or to Director of Operations

    Administrative Support

    • Attend and take notes at periodic meetings, champion our Yardi initiatives as we grow and expand and embrace new technologies and Yardi modules
    • Support due diligence document prep for acquisitions/dispositions
    • Support consistent portfolio-wide administrative practices, documentation standards, and reporting workflows
    • Perform miscellaneous duties assigned by VP and Director

    You have

    • 2+ years of administrative, leasing, or property management experience, ideally within multifamily residential or real estate
    • Post-secondary education in business administration, real estate, or a related field is an asset
    • Working knowledge of Yardi Voyager (or a similar property management system) strongly preferred
    • Familiarity with the BC Residential Tenancy Act (RTA) and/or Alberta RTA is a strong asset
    • Exceptional attention to detail and accuracy, with a demonstrated ability to follow consistent processes
    • Strong organizational skills with the ability to manage multiple deadlines and reporting cycles simultaneously
    • Clear written and verbal communication skills, including comfort liaising across property management, leasing, accounting, and asset management teams

    Salary range: $60,000 - $65,000, dependent on experience
