Sales Administration Assistant (m/f/d) - 6-month fixed-term contract

Contract: 6-month fixed-term contract – Full time
On-site position – No remote work

At the heart of our sales activities, you will be responsible for sales administration and order management, from preparing quotations through to invoicing.

Working closely with our sales and technical teams as well as other internal departments, you will ensure the smooth handling of customer orders and contribute to delivering a high level of customer service.

Your Main Responsibilities

Sales Administration

• Prepare and send quotations for instruments, spare parts and consumables;
• Enter and follow up on customer orders;
• Manage invoicing upon delivery;
• Prepare administrative documentation for tenders;
• Handle customer calls and requests;
• Ensure accurate administrative follow-up of customer orders through to completion.

Sales Support & Order Management

• Manage and update sales files and records;
• Communicate relevant information to internal teams to ensure effective follow-up;
• Maintain and update customer and sales information in the CRM;
• Manage equipment loan documentation and ensure accurate tracking in internal systems;
• Coordinate returns with our headquarters in Graz, including credit note requests;
• Prepare and manage customs documentation when required;
• Process internal purchase orders for spare parts and demonstration instruments.

You have a 2- to 3-year higher education degree in business administration, sales, sales administration or a related field.

Previous experience in Sales Administration, Sales Support or Order Management would be an advantage.

You enjoy working in a dynamic environment, interacting with a variety of stakeholders and ensuring accurate and efficient follow-up of customer requests.

Skills

• Proficiency in Microsoft Office;
• Knowledge of SAP and/or CRM systems would be an advantage;
• Good written communication skills;
• Strong communication and interpersonal skills;
• Strong customer service orientation;
• Professional English skills would be appreciated for communication with our international colleagues.
