About the Role

We’re looking for an Executive Assistant to join our team in Wrocław (hybrid). At Aptean, our Executive Assistants are crucial to our business's efficient operation. In this role, you'll provide comprehensive administrative and logistical support to a US-based Executive Vice President of Sales.

Flexibility and initiative are essential in this role, as you'll be working with dynamic executives in a fast-paced, growing environment.

You'll enhance their effectiveness by:

• Screening calls and managing complex calendars.
• Arranging domestic and international travel.
• Coordinating special events and meetings.
• Managing internal and external communications.
• Preparing special reports and high-level management presentations.
• Collecting and documenting departmental metrics.

About You

• You have prior experience as an Executive Assistant, Office Manager, or Administrative Specialist, preferably in a dynamic international environment.
• Strong English language skills, both written and verbal, are essential for effective communication with US-based executives and stakeholders.
• You are a highly organized multitasker with excellent interpersonal skills and strong IT proficiency.
• You have experience in project coordination and can work effectively with all levels of internal management, staff, external clients, and vendors.
• You can handle multiple tasks simultaneously, prioritize effectively, and respond promptly to time-sensitive requests.
• You are data-driven and capable of producing analytical dashboards from numerical data.
• You possess a strong working knowledge of MS Office, particularly PowerPoint and Excel.
• You can handle sensitive information with discretion and maintain confidentiality.
