Position Overview
The General Manager is responsible for the overall operations and facilities management of a condominium community. This position provides leadership across property operations, communications, human resources, financial management, facilities and maintenance, customer service, and project management.
The General Manager serves as a key liaison between the management team, Board of Directors, residents, vendors, and other stakeholders. The position is responsible for developing a high-performing team, maintaining strong client relationships, ensuring operational excellence, and implementing Board-directed initiatives in accordance with the community’s governing documents and Barkan’s policies and procedures.
The successful candidate will be a hands-on leader who motivates employees, establishes accountability, solves problems effectively, and consistently delivers exceptional service.
Essential Responsibilities
Operations & Property Management
- Plan, organize, and oversee the community’s daily operations.
- Schedule, supervise, and participate in operational activities as necessary.
- Ensure the property is maintained in a safe, clean, professional, and well-maintained condition.
- Oversee maintenance, housekeeping, sanitation, equipment, and general facility operations.
- Monitor operational expenses and identify opportunities for effective cost control.
- Notify the District Manager of unusual events, safety concerns, quality-control issues, or other significant circumstances.
- Ensure compliance with applicable policies, procedures, governing documents, and Board directives.
Leadership & Staff Management
- Recruit, train, supervise, schedule, coach, and develop management and support staff.
- Conduct employee performance reviews and address performance issues in accordance with company policies.
- Establish clear expectations and accountability for all team members.
- Foster a positive, collaborative, and professional team environment.
- Develop leadership capabilities within the management team and encourage employee growth and development.
- Ensure staff consistently deliver a high level of customer service and professionalism.
Financial Management
- Maintain appropriate accounting records and ensure timely completion of client financial reporting requirements.
- Monitor the community’s financial performance and operating expenses.
- Review and manage the property’s Profit & Loss statement and provide explanations for budget variances.
- Review financial reports, including:
- Profit & Loss Statements
- Variance-to-Budget Reports
- Balance Sheets
- Accounts Receivable
- Accounts Payable
- Bank Statements and Reconciliations
- Assist with budget preparation and financial planning.
- Monitor vendor expenses and negotiate contracts, bids, and service agreements as appropriate.
Board & Client Relations
- Attend Board of Directors and committee meetings and provide professional management reports, recommendations, and guidance.
- Maintain appropriate records and meeting minutes for Board and committee meetings.
- Respond promptly and professionally to client, resident, and Board inquiries.
- Address and resolve complaints in accordance with the community’s governing documents and established policies.
- Assist the Board with information gathering, fact-finding, and decision-making.
- Implement Board-approved decisions and administer community services, programs, and operations in accordance with established policies and directives.
- Provide the Board with the administrative tools and information necessary to effectively fulfill its responsibilities.
- Support and develop committees by providing appropriate administrative guidance and resources.
- Maintain strong relationships with residents, Board members, vendors, contractors, and other stakeholders.
Vendor & Project Management
- Solicit, review, and negotiate vendor proposals and contracts.
- Monitor vendor performance and ensure contracted services are delivered appropriately.
- Assist with capital projects, maintenance initiatives, and other community projects.
- Coordinate projects from planning through completion while maintaining appropriate communication with the Board and stakeholders.
- Monitor project schedules, budgets, quality, and vendor performance.
Customer Service & Professionalism
- Deliver exceptional customer service to residents, Board members, guests, vendors, and clients.
- Proactively identify opportunities to assist customers and coworkers.
- Represent Barkan Management Company in a professional and positive manner at all times.
- Maintain and enhance the company’s reputation and image through professional interactions and service.
- Promote a culture of responsiveness, accountability, teamwork, and service excellence.
Qualifications & Experience
- High School Diploma or GED required.
- Bachelor’s degree in Business, Hospitality, Real Estate, or a related field preferred.
- 3–5 years of relevant management experience required, preferably in condominium, community association, hospitality, resort, rental, or facilities management.
- High-rise condominium or residential property management experience strongly preferred.
- CMCA or AMS certification required; PCAM certification is welcomed.
- Demonstrated ability to lead, motivate, and develop employees.
- Proven experience in human resources and personnel management.
- Strong customer service and interpersonal skills.
- Excellent organizational and time-management skills with the ability to manage multiple priorities.
- Strong problem-solving and decision-making abilities.
- Strong financial and accounting knowledge, including the ability to understand and present financial reports.
- Strong computer skills, including Microsoft Word, Excel, and Outlook.
- Knowledge of Yardi or other property management software preferred.
- Ability to communicate effectively, professionally, and confidently with a diverse group of residents, Board members, employees, vendors, and clients.
Additional Requirements
- Ability to maintain a consistent physical presence at the community; regular on-site attendance is essential to the performance of this position.
- Ability to move throughout the property and frequently travel from one area of the community to another to accomplish job duties.
- Ability to stand for extended periods, including up to eight hours per day when required.
- Ability to regularly climb stairs and navigate the property.
- Ability to read and write work-related documents in English.
- Ability to review financial reports and understand basic accounting principles.
- Ability to clearly communicate verbally and understand communications from residents, clients, coworkers, vendors, and other stakeholders.
- Ability to work effectively in a fast-paced environment requiring frequent communication and interaction with others.
