    Overview

    Responsible for the receptionist and clerical function on the Patient Care Unit under the supervision of a Registered Nurse.

    Responsibilities

    • Serve as a central communication resource for the unit, supporting patient care, customer service, and daily department operations.
    • Monitor physician/provider orders in the electronic medical record (EMR) and promptly communicate new, urgent, and stat orders to the appropriate nursing staff.
    • Schedule diagnostic tests, procedures, consultations, and appointments in a timely and accurate manner.
    • Coordinate communication with physicians, providers, and consultants, including paging and relaying critical information as needed.
    • Maintain unit inventory by ordering, receiving, stocking, and organizing supplies, forms, and materials using electronic ordering systems.
    • Ensure proper storage and availability of supplies to support ongoing patient care needs.
    • Manage and maintain patient medical records in accordance with regulatory and organizational guidelines.
    • Prepare, organize, and process patient charts for admissions, transfers, discharges, and interdepartmental movement.
    • Ensure patient records are complete and accurately accompany patients during transfers or discharge.
    • Maintain unit readiness for EMR downtime events, including management of downtime equipment, forms, and supplies.
    • Welcome, assist, and direct patients, visitors, and staff while providing exceptional customer service and responding to routine inquiries.
    • Perform admission, discharge, and transfer registration activities accurately and efficiently.
    • Coordinate procurement and delivery of equipment and supplies necessary to support patient care and physician orders.
    • Identify, report, and track issues related to EMR devices, computers, printers, fax machines, and other unit equipment, escalating unresolved concerns as appropriate.
    • Maintain a safe, clean, organized, and efficient unit environment in compliance with established standards.
    • Submit and monitor maintenance work orders for facility-related issues and support routine unit operations, including mail distribution and pneumatic tube system management.
    • Demonstrate professional accountability through ongoing learning, timely completion of required education and competencies, and active participation in performance improvement initiatives.
    • Collaborate effectively with team members, assist with additional assignments, and contribute to unit-based councils and quality improvement efforts.
    • Proactively identify operational needs and support solutions that enhance patient care, workflow efficiency, and departmental performance.
