    Location: Site-Based at the Springer Site, Imlay, Nevada

    Employment Type: Full-Time

    Reports To: Operations Manager

    About the Springer Site

    The Springer site is an underground tungsten mining and milling operation located near Imlay, Nevada. As activities at the site continue to advance, effective engineering administration and document coordination are essential to supporting project execution, operational readiness, and communication across site teams.

    About the Role

    The Engineering Administrator provides administrative and coordination support to the Engineering department at the Springer site. This role helps maintain engineering records, schedules, action lists, correspondence, purchasing documentation, and departmental reporting, and oversees the operational areas of tailings, mining, personnel camp and the haul roads.

    Working closely with engineers, project personnel, contractors, vendors, and other site departments, the Engineering Administrator ensures information is accurate, organized, and available to the appropriate stakeholders. The role also coordinates meetings, tracks administrative actions, and supports the efficient operation of the Engineering department.

    Key Responsibilities

    Engineering Administration

    • Provide day-to-day administrative support to the Engineering Manager and Engineering team.
    • Prepare and format correspondence, reports, presentations, meeting materials, and other departmental documents.
    • Maintain engineering calendars, contact lists, action registers, departmental files, and administrative records.

    Document & Information Coordination

    • Organize and maintain engineering drawings, specifications, technical documents, manuals, reports, and correspondence.
    • Support the distribution, tracking, filing, and retrieval of current engineering information.
    • Work with engineering and document-control personnel to help ensure obsolete or superseded documents are appropriately identified and managed.

    Scheduling & Meeting Support

    • Coordinate engineering meetings, site visits, design reviews, contractor meetings, and other departmental activities.
    • Prepare agendas, record meeting minutes, distribute materials, and track assigned actions through completion.
    • Maintain departmental schedules and communicate upcoming deadlines, meetings, deliverables, and required decisions.

    Procurement & Financial Administration

    • Prepare purchase requisitions and support the processing of engineering-related purchase orders and service requests.
    • Track orders, deliveries, invoices, consultant documentation, and vendor information.
    • Maintain departmental expense records and support budget tracking, cost reporting, and forecasting activities.

    Contractor & Departmental Coordination

    • Assist with the onboarding, site access, scheduling, and administrative requirements of engineering consultants, contractors, and vendors.
    • Coordinate information and requests between Engineering, Projects, Construction, Operations, Maintenance, Supply Chain, Finance, and other departments.
    • Follow up on outstanding submissions, approvals, documentation, and administrative actions.

    Compliance & Process Improvement

    • Maintain records in accordance with company policies, document-management requirements, and confidentiality standards.
    • Support departmental audits, reporting requirements, and the collection of information needed for compliance activities.
    • Identify opportunities to improve engineering administration, document organization, communication, and workflow efficiency.

    Qualifications & Experience

    • High school diploma or GED required.
    • Post-secondary education in Business Administration, Office Administration, Engineering Technology, Project Coordination, or a related field is preferred.
    • Minimum of 2 years of administrative or coordination experience, preferably supporting an engineering, project, construction, mining, or industrial team.
    • Experience maintaining technical documents, drawings, reports, schedules, or project records is preferred.
    • Experience with procurement documentation, purchase orders, invoices, and vendor coordination is considered an asset.
    • Experience working with multidisciplinary teams, contractors, and external service providers is preferred.
    • Valid driver’s license and ability to meet all site-access requirements.

    Skills & Competencies

    • Strong administrative, organizational, and time-management skills.
    • Excellent attention to detail and commitment to maintaining accurate records.
    • Strong written and verbal communication skills.
    • Ability to prioritize multiple assignments and follow actions through to completion.
    • Proficiency with Microsoft Office applications, including Word, Excel, PowerPoint, Outlook, and Teams.
    • Experience with document-management, ERP, procurement, project-management, or scheduling systems is an asset.
    • Ability to handle confidential and technically sensitive information appropriately.

    Working Conditions

    • Work is primarily performed in an office environment with occasional travel throughout the site.
    • Requires regular interaction with engineers, employees, contractors, vendors, and site leadership.
    • The position may occasionally involve exposure to outdoor conditions, active construction or operational areas, uneven ground, dust, noise, and varying weather conditions.
