    Reports To: Access Practice Supervisor (APS) / Behavioral Wellness Clinic (BWC) Assistant

    Position Summary

    Are you outgoing, dependable, and passionate about helping others? Bridgeway Center, Inc. (BCI) is looking for a warm and welcoming Access Specialist to be the first friendly face our clients see. BCI provides outpatient services for adults, children, and families in Mental Health (MH) and Substance Abuse (SA) programs, and the Access Specialist plays a key role in making every client feel comfortable, valued, and well cared for from the moment they walk through our doors.

    The Access Specialist is responsible for providing reception and administrative duties, which include greeting clients and other visitors, answering phones, and BCI answering inquiries. The Access Specialist demonstrates excellent customer service skills and professionalism when interacting with difficult clients/patients. The Access Specialist obtains client data and ensures that all information collected is accurate. This includes entering the information into the Electronic Health Record (EHR) in a timely manner and updating established clients' information as needed. The Access Specialist schedules and verifies routine client appointments, reschedule appointments as necessary, notifies clients/patients of previous balances, obtains daily schedules, and makes return client/patient appointments as necessary. The Access Specialist maintains strict client confidentiality, assists with all filing as needed, collects payment with cash or processes credit card payments for services, and provides receipts. The Access Specialist balances/reconciles their cash drawer daily.

    Minimum Requirements

    • High School (HS) Diploma OR GED.

    • Bilingual/Bicultural (English/Spanish) preferred (not required).

    Pre-Employment Requirements

    Employment is contingent upon successfully completing all required screenings and background checks, including:

    • Applicants must be able to pass an Agency for Health Care Administration (AHCA) Medicaid and Florida Department of Children and Families (DCF) Level II background check (Clearinghouse Education and Awareness Website: https://info.flclearinghouse.com)

    • National Sex Offender Registry search

    • Office of Inspector General (OIG) check (if you have previously worked for DCF (including Contract or Subcontract Provider)

    • Drug screen

    • Tuberculosis (TB) test

    • Applicants must be at least twenty-one (21) years old and possess a valid Florida Driver's License with no more than three (3) points on their driving record to be insured under BCI's automobile insurance policy.

    Knowledge, Skills, & Abilities

    • Maintain strict confidentiality of patient information in accordance with HIPAA regulations and BCI policy.

    • Ability to display sensitivity to all persons and cultures, including diverse backgrounds, ages, and levels of ability.

    • Excellent interpersonal, communication, and organizational skills, both verbal and written.

    • Ability to multitask effectively in a fast-paced environment while maintaining accuracy and attention to detail.

    • Strong customer service orientation, with the ability to remain calm, courteous, and professional under pressure.

    • Basic proficiency with computers, including data entry, email, and office software.

    • Familiarity with Electronic Health Record (EHR) systems and scheduling software, or the ability to learn new systems quickly.

    • Ability to handle sensitive or difficult conversations (e.g., billing concerns, scheduling conflicts) with tact and professionalism.

    • Strong problem-solving skills and sound judgment when handling patient inquiries or unexpected situations.

    • Ability to work collaboratively as part of a healthcare team, coordinating with clinical and administrative staff as needed.

    • Basic math and cash-handling skills for processing payments and balancing daily transactions.

    • Reliability, punctuality, and a strong sense of accountability.

    Work Schedule & Location

    Work Location: Primary Work Location – Fort Walton Beach (FWB) / Travel to BCI's Crestview (CV) Location is Required as Needed

    Work Schedule: Monday – Friday; 8:30 a.m. – 5:30 p.m.

    Wage: $16.00 per hour
