    Job description

Join the Team at Cayman Hearing Center

Cayman Hearing Center is seeking an experienced, friendly and highly organised Patient Care Coordinator/Receptionist to join our growing team.

This is not an entry-level position. We are seeking a dependable professional with previous experience managing reception, customer service and administrative responsibilities in a busy, public-facing environment.

As the first point of contact for our patients, you will play an important role in ensuring that every interaction with Cayman Hearing Center is warm, professional, caring and efficient. The successful candidate must be able to work independently, manage competing priorities and take ownership of front-desk responsibilities without continuous supervision.

    Responsibilities

    • Greet patients warmly and professionally
    • Answer incoming telephone calls and take accurate messages
    • Schedule, confirm and reschedule appointments
    • Check patients in and out
    • Collect payments and co-payments
    • Send appointment reminders and patient questionnaires
    • Monitor and respond to general email enquiries
    • Scan and upload documents into patient records
    • Communicate patient arrivals, delays and scheduling changes to the clinical team
    • Maintain a clean, organised and welcoming reception area
    • Ensure that the reception desk remains appropriately covered
    • Provide daytime reception coverage during lunch breaks and when the Senior Patient Care Coordinator is on vacation, ill or otherwise absent
    • Assist with general administrative duties as required

    Minimum Qualifications

    • At least three years of relevant experience in a medical office, dental office, professional office, hospitality, customer service or similar public-facing environment
    • Demonstrated experience handling telephone calls, appointments, customer enquiries, payments and administrative tasks
    • Excellent verbal and written communication skills
    • Professional telephone manner
    • Strong attention to detail and accuracy
    • Strong computer and administrative skills, with the ability to learn new software systems
    • Ability to manage multiple priorities while remaining organised and calm
    • A demonstrated record of reliability, punctuality and professional conduct
    • Ability to provide professional references who can confirm previous experience and dependability

Previous experience in a healthcare setting and experience using appointment-scheduling or electronic patient-record systems would be an asset.

We Are Looking for Someone Who:

    • Genuinely enjoys helping people
    • Takes pride in providing excellent customer service
    • Is warm, polished and professional
    • Notices what needs to be done and takes appropriate initiative
    • Follows established procedures consistently
    • Takes ownership of assigned responsibilities and follows tasks through to completion
    • Remains calm and solution-focused when the office becomes busy
    • Is comfortable asking appropriate questions and receiving feedback
    • Works well independently and as part of a small, collaborative team
    • Understands the importance of patient confidentiality

The regular schedule is approximately 20 hours per week. Applicants must also have sufficient flexibility to work additional or adjusted daytime hours when required to provide reception coverage during the Senior Patient Care Coordinator’s vacation, illness or other absence. This may occasionally include working the practice’s full operating hours.

This position may expand to additional hours, including a possible full-time schedule, as the practice's needs grow. Additional hours and future expansion are not guaranteed.

Caymanians, RERC holders and Permanent Residents are strongly encouraged to apply.

This is an in-person position. We will consider only applicants currently residing in the Cayman Islands.
