    An exciting opportunity has arisen to join Change Grow Live (CGL) in Warwickshire as a Clinical Administrator.

    The Administrator role is a vital role in our services as you are the first point of contact for our service users. You will be a friendly and efficient communicator with excellent administration skills. You will work well in a fast paced environment and are good at multi-tasking. Duties for the post include responsibility for front house activities, dealing with initial queries, welcoming clients and professionals into the service, signposting within the service and the community, accurate information and data recording and general administrative tasks.

    The post is primarily based in Leamington Spa, however flexibility to work across operational sites as required and work flexibly within an agreed number of hours to maintain the most appropriate level of service provision. This will include some evening and weekend working.

    Hours: Part Time, 30 hours per week

    Full-time hours at Change Grow Live are 37.5 hours per week. For part-time roles, the salary and payments will be pro rata based on contracted hours.

    Responsibilities

    Key Activities:

    This post-holder will be responsible to the Admin Lead in fulfilling the following duties:

    • Provide effective general and prescription administration across the service.

    • Offer organisational, administrative and clerical services to the team, designed to contribute towards its aims and objectives.

    • Work flexibly across operational sites as required and work flexibly within an agreed number of hours to maintain the most appropriate level of service provision. This will include some evening and weekend working.

    • Be expected to take responsibility for personal development, identifying personal training needs and participate in regular supervision and appraisal.

    • Assist in building management and to participate in building risk assessments as and when required in line with Health and Safety requirements and fire regulations.
    • Maintain adequate stationary stocks within the office.
    • Maintain petty cash systems.
    • Manage an effective filing system to ensure that all documents are kept in an orderly manner.
    • Assist in the servicing and maintenance of IT and telecommunication systems and all other office equipment (e.g. fax machine, photo-copier).
    • Photocopying as required, collating, laminating and binding of report documents when necessary.
    • Work closely with the Administration, Clinical and Management Team to ensure that the administration, IT and telecommunication systems operate in an effective and efficient manner.
    • Develop and nurture sound relationships with both CGL Business Support and external office and equipment suppliers.
    • Support the Clinical, Management and Administration Team with any additional tasks required by the post.
    • To ensure effective processing of correspondence/data entry as required.
    • To collate, monitor and report data/information and statistics as required.
    • To maintain and assist with the setting up of a prescription filing system within the project.
    • To monitoring and order controlled stationery/requirements in line with policy.
    • To carry out photocopying as required.
    • To ensure that admin, record-keeping and communication within the project are maintained.
    • To co-ordinate operational requirements of the project base as required, e.g. room bookings etc.
    • Supervising Administration Volunteers.
    • To be the Point of Contact for referrals and enquiries and to ensure that all are dealt with promptly and courteously.
    • Providing advice and information to service users and their family, carers, other agencies and health care professionals.
    • To cover reception as directed.
    • Monitor incoming post and deal with any items where appropriate.

    About you:

    • Knowledge of general office procedures
    • IT literacy including proficiency in word processing, excel spreadsheets and other MS applications
    • Good interpersonal skills and a willingness to work flexibly as part of a team
    • The ability to respond to appropriate requests for assistance, maintaining confidentiality whenever necessary
    • Confident and effective communication skills, both verbally and in writing and solid numeric skills
    • Excellent organisational and time management skills
    • Able to take responsibility for your own personal development, identifying personal training needs and participating in regular supervision and appraisal
    • Be flexible to work across operational sites as required
    • Minute taking experience would be an advantage
    • Working knowledge of NDTMS and local data inputting and monitoring of procedures and the ability to produce reports.
