Position Summary

We are looking for a detail-oriented and highly organized Recruiting Assistant to support our HR team. This role is essential to creating a smooth, positive experience for candidates and new hires. You will coordinate interviews, maintain recruiting reports, create and post job openings, manage background screenings, and assist with onboarding and HR onboarding compliance tracking.

Key Responsibilities

Recruiting Support

• Coordinate and schedule interviews (phone, video, and in-person) between candidates and hiring teams, including confirmations and calendar management
• Maintain and update the recruiting tracker report with accurate, timely information on candidates, requisitions, and hiring activity
• Draft, format, and post job openings to the company careers page and external job boards
• Initiate background screens for selected candidates, monitor progress, and follow up on pending items
• Communicate with candidates throughout the hiring process, providing a professional and positive experience

Onboarding & HR Compliance

• Assist with new hire onboarding, including offer letters, new hire paperwork, and first-day coordination
• Support HR with onboarding compliance tracking to ensure required documents (e.g., Form I-9, tax forms, policy acknowledgments) are completed accurately and on time
• Maintain confidential candidate and employee records in accordance with company policy and legal requirements

Requirements

• 3 + years of administrative, recruiting, or HR support experience
• Strong organizational skills and exceptional attention to detail
• Excellent written and verbal communication skills
• Proficiency in Microsoft Office (Word, Excel, Outlook), MS Teams and Zoom.
• Experience with an applicant tracking system (ATS) or HRIS is preferred. 
• Experience posting jobs to platforms such as Indeed or LinkedIn is preferred. 
• Ability to handle sensitive and confidential information with discretion
• Ability to manage multiple priorities in a fast-paced environment

Salary Range

The base salary range for the Recruiting Assistant is $25 to $30 / hour.  This pay range reflects the broad, minimum to maximum, pay range for this job for the location for which it has been posted. Compensation decisions are dependent on several factors including, but not limited to, an individual’s qualifications, location where the role is to be performed, internal equity, and alignment with market data.
