    Requirements

    • Strong Excel skills and confidence working with spreadsheets, databases, and large amounts of data.
    • Good analytical skills, with the ability to review, organize, interpret, and identify inconsistencies or trends in data.
    • Exceptional attention to detail and accuracy, particularly when working with reports, documentation, and data.
    • Strong organizational and time-management skills, with the ability to manage multiple tasks in parallel, prioritize effectively, and follow up with others to ensure deadlines are met.
    • Strong communication and coordination skills, with the ability to work effectively with different stakeholders and keep information organized and up to date.
    • Fluent English, as English is the primary language of communication in this role.
    • Proactive and reliable approach, with the ability to work independently, identify what needs to be done, and follow tasks through to completion.

    Nice to have

    • Previous experience in an IT or consulting company.
    • Basic understanding of project management principles and processes.
    • Experience working with project-related data, reports, or documentation.
    • Familiarity with tools such as Jira, Confluence, SharePoint, or similar project management/collaboration platforms.

    Responsibilities

    Projects and time tracking:

    • Register projects and project participants in our project management system.
    • Monitor timely timesheet completion across the team.
    • Ensure Project Managers approve logged time on schedule.
    • Reconcile registered time against client-billed time.
    • Track key deadlines (time approval, period closing, etc.) and follow up with Team and Project Managers to keep them on schedule.
    • Identify and escalate data discrepancies such as time mismatches or unregistered participants.

    Records and documentation:

    • Keep consultant profiles current, accurately reflecting recent projects and experience.
    • Manage document handover and maintain registers, such as signed contracts at project kickoff.

    Team and commercial support:

    • Handle Capability Managers' requests on team cost monitoring, working with financial and commercial data on teams and projects.
    • Support Capability Managers with organizational tasks: preparing reports, maintaining registers, and coordinating internal team communication.
    • Facilitate meetings and track agreed action points.

    Cross-functional collaboration:

    • Support hiring by drafting job postings and working closely with HR on recruitment.
    • Collaborate with Sales on the handover of projects to Delivery.
    • Contribute to developing and improving company policies, and help ensure they're followed.
