Office/Clerical
Job Profile: JP00299

Position Summary: The Office/Clerical role is responsible for providing guests with a “world-class” first impression of the facility. This position manages and coordinates visitor interactions to ensure their needs are met in a professional and welcoming manner. Additionally, the role includes performing daily office operations and supporting basic accounts payable tasks.

Duties / Responsibilities:
•    Match packing slips (PO’s) to invoices for accounts payable
•    Key into GL accounts payable batches and scan (manual code)
•    AP Mailbox distribution for 913 and 904
•    Expense Tracking for team spending
•    Point of contact for accounts payable team
•    Coordinate guests and scheduled delivery appointments.
•    Answer the main phone line – route calls, take messages, and manage the initial communications.
•    Point of contact for ordering supplies in Oracle
•    Store office supplies when delivered.
•    Filing, making copies, printing, and any other pertinent administrative responsibilities as assigned.
•    Assist potential candidates with an online application process.
•    Any additional duties or special projects as requested by the Materials Manager.
•    Sign for UPS & FEDEX deliveries.
•    Cycle Counts
•    Other duties as assigned.

Qualifications:
•    High school diploma or equivalent preferred
•    Proficient in Excel and Word
•    Minimum of two (2) years’ relevant experience
•    Knowledge of accounts payable accounting techniques and methods.
•    Familiarity with reconciliation techniques, filing procedure, and file maintenance
