Position Objective
Performs intermediate work preparing, maintaining, entering data, and updating civil process documents, accounting for various monies collected, serving as confidential administrative support for the Sheriff and Chief Deputy, maintaining files and records, and related work. Work is performed under the limited supervision of Sheriff and Chief Deputy.
Essential Functions

- Provide and coordinate administrative support for the Sheriff and Chief Deputy which requires a high degree of knowledge, confidentiality and judgment.
- Maintain Sheriff and Chief Deputy’s calendars, schedule meetings and appointments, administer official correspondence, coordinate travel arrangements and attend meetings pertinent to the operation of the Sheriff’s Office.
- Pre-approve all billing within the Sheriff’s Office.
- Maintain accurate expungement files.
- Complete the agency’s annual state audit in partnership with the County’s Director of Finance.
- Handle disbursements and credits within the Sheriff's Office to include Contract Policing, Grants, Forfeitures, Report Request fees, Gun Permit fees, Bullet Proof Vest Reimbursement, Off Duty Police Protection and Dangerous Dog Fees.
- Coordinate, prepare, and maintain confidential employee files, labor proposals, and confidential internal affairs files.
- Prepare and/or assist in planning and implementing special projects or procedures as assigned including working with the Sheriff and Chief Deputy on annual budget proposal, and projection of future needs for the office.
- Compile and prepare reports regarding statistical data related to the activities of the Sheriff’s Office.
- Responsible for records retention, in-house computerized records system, digital records imaging system, and work with the Sheriff and Chief Deputy to develop and implement office policies and procedures.
- Coordinate hiring, testing, and promotional positions in the Sheriff’s Office with Human Resources.
- Coordinate personnel issues with all new and existing positions within the Sheriff’s Office.
- Coordinator/Liaison between Sheriff’s Office and Chisago County Board and Administration, as well as other public safety and state agencies, communities, and their respective administration within Chisago County.
- Recommend and implement new methods, procedures, or strategies to solve work problems and improve productivity. Assess office needs and make recommendations to Sheriff and Chief Deputy regarding equipment, space, and staff requirements.
- Responsible for all Civil Process duties within the Sheriff’s Office. Handle all monies associated with Civil Process and the Auditor’s Office.
- Perform other duties and responsibilities as apparent or assigned.
Knowledge, Skills, and Abilities
- Knowledge of supervisory techniques and management of Human Resources.
- Thorough knowledge of Minnesota Data Practices Act; Minnesota Criminal Justice Information Systems; Minnesota Bureau of Criminal Apprehension; and requirements as they pertain to a law enforcement agency.
- Thorough knowledge of Criminal Justice Information Systems and National Crime Information Center services and operating procedure and ability to obtain (or already possess) current Minnesota Bureau of Criminal Apprehension Criminal Justice Information System Certification.
- Proficient in oral and written communication.
- Ability to respond and communicate effectively by adapting to different personality types.
- Ability to work independently.
- Ability to work under stressful situations concerning time deadlines, subject matter, and distressed individuals.
Desired Minimum Qualifications
High School diploma or GED and moderate experience, or a combination of equivalent education and experience.
Special Qualifications
- Ability to type 60 wpm
- Previous experience in law enforcement or public safety setting
- Experience working with confidential or sensitive information
- Strong computer skills
- Strong attention to detail and accuracy
- Knowledge of public records and data practices
