We are seeking a highly organized, systems-minded Engineering Coordinator and Document Control Specialist to establish and maintain accurate, accessible, and controlled engineering information across Cranemasters. This position will support the engineering team by coordinating document-control practices, engineering release packages, project records, and the migration of legacy data into clearly defined systems of record.
The ideal candidate enjoys bringing order to complex information, working closely with engineers and manufacturing personnel, and building practical processes that people will actually use. This individual will help ensure that the right drawings, specifications, work instructions, test records, and project information are available to the right people at the right time - supporting product development, catalog production, aftermarket service, and field operations.
Work Schedule & Environment
· Schedule: Standard full-time schedule, 40 hours per week, Monday through Friday.
· Primary Location: Chesterfield, VA with occasional work in the Richmond facility or other Company locations.
· Work Environment: Primarily office-based with regular interaction in engineering, manufacturing, and shop environments.
Key Responsibilities
Document Control & Engineering Systems
· Administer and continuously improve engineering document-control practices for CAD models, drawings, released PDFs, specifications, bills of materials, test records, work instructions, forms, and related technical documentation.
· Support the administration and improvement of SOLIDWORKS PDM workflows, metadata, revision practices, release states, templates, and document history.
· Administer SharePoint engineering document libraries and project workspaces, including document classification, metadata, permissions, version history, approval status, and controlled-document publishing.
· Coordinate engineering release packages to confirm required drawings, PDFs, supporting documents, approvals, and revision information are complete and available to authorized users.
· Maintain clear separation between working files, approved controlled documents, released product-definition data, and obsolete or legacy-reference records.
· Lead the inventory, triage, migration, and read-only archival of legacy engineering data stored on network drives, OneDrive, SharePoint, local folders, and other locations.
· Coordinate document reviews, approvals, periodic review dates, revision notifications, and archival activities; follow up with document owners and approvers as needed.
Project Coordination & Production Support
· Manage physical and digital project records, including project binders, photos, drawings, test documentation, and customer or supplier reference files, as applicable.
· Serve as a liaison between Engineering and Manufacturing to help ensure current released drawings, work instructions, and supporting technical documents are available at the point of use.
· Assist with engineering project coordination, including schedule updates, documentation status, action-item tracking, and cross-functional communication.
· Support validation-test documentation by coordinating controlled test plans, test records, supporting evidence, and final documentation.
· Coordinate with engineering, manufacturing, operations, purchasing, vendors, and suppliers to support timely releases and successful project execution.
Engineering Excellence
· Support development and documentation of engineering and manufacturing best practices, templates, naming conventions, and standardized processes that improve design consistency, manufacturability, safety, and efficiency.
· Prepare routine reporting on document-control status, outstanding approvals, overdue reviews, release-package readiness, migration progress, and process-improvement opportunities.
· Train and support users on approved document-control practices, PDM and SharePoint workflows, and applicable engineering standards.
· Identify process gaps, recommend practical improvements, and help drive adoption of scalable ways of working.
· Maintain working knowledge of Company products, engineering documentation practices, and applicable industry standards.
Skills & Qualifications
Required
· Associate degree or comparable technical, manufacturing, engineering, quality, or document-control experience preferred.
· Five or more years of experience supporting engineering, manufacturing, technical documentation, project coordination, document control, or a related function.
· Ability to read and understand manufacturing CAD drawings, schematics, bills of materials, and technical documentation.
· Strong organizational, administrative, written communication, and follow-through skills with exceptional attention to detail.
· Working knowledge of document revision control, approval workflows, controlled documents, and records-management practices.
· Proficiency with Microsoft Office applications, particularly Excel, Word, Outlook, and Teams.
· Ability to work independently while collaborating effectively with engineers, manufacturing personnel, supervisors, and cross-functional teams.
· Valid driver's license.
Preferred
· Experience with SOLIDWORKS PDM, SharePoint, Microsoft Teams, OneDrive, or comparable document-management systems.
· Experience supporting engineering releases, controlled technical documentation, manufacturing documentation, or quality records.
· Experience with data migration, document-library organization, workflow administration, or process standardization.
· Familiarity with OSHA, ASME, AWS, AAR, or other applicable engineering and manufacturing standards.
Physical Requirements
· Ability to sit, stand, walk, and communicate throughout the workday.
· Ability to work safely in office, engineering, manufacturing, and shop environments, including occasional bending, stooping, or climbing as needed.
· Ability to occasionally lift and carry files, tools, parts, or equipment up to 25 lbs; obtain assistance for heavier or ergonomically challenging items.
· Ability to travel occasionally between Company locations, customer sites, vendor locations, and field operations.
