Key Responsibilities
Administrative & Compliance Management
- Maintain accurate and up-to-date environmental, health, and safety (EHS) records, including Safety Data Sheets (SDS), incident reports, inspection logs, training records, and certifications.
- Organize, maintain, and periodically review safety files to ensure readiness for internal audits and regulatory inspections.
- Track safety and compliance metrics, including recordable incidents, near misses, training completion rates, and corrective actions.
- Prepare concise weekly, monthly, and other periodic safety reports for management.
- Assist with the administrative coordination of Workers’ Compensation claims, working with Human Resources, insurance representatives, medical providers, and management as appropriate.
- Assist with documentation and coordination of return-to-work and modified-duty programs.
Training & Program Coordination
- Schedule and coordinate new-hire safety orientations and ensure required acknowledgments, training records, and supporting documentation are properly maintained.
- Maintain the company safety training calendar and monitor certification and training expiration dates.
- Coordinate required training and recertification, including forklift, First Aid/CPR, Hazard Communication (HazCom), and other applicable safety training.
- Provide administrative support for the Safety Committee, including preparing meeting agendas, documenting meeting minutes, maintaining records, and tracking assigned corrective or action items through completion.
- Assist management with communicating safety policies, procedures, and workplace safety initiatives to employees.
Field & Operational Safety Support
- Conduct routine workplace and facility walkthroughs to identify and document potential safety concerns.
- Assist with periodic inspections of safety equipment and supplies, including fire extinguishers, eyewash stations, first-aid kits, and PPE, and maintain applicable inspection logs.
- Support incident investigations by collecting employee statements, organizing documentation and evidence, and maintaining centralized files for incidents and corrective actions.
- Monitor outstanding safety concerns and corrective actions and follow up with appropriate departments regarding completion.
- Maintain inventory and coordinate purchasing of Personal Protective Equipment (PPE) and other safety-related supplies, while monitoring usage and applicable budget requirements.
- Promote a positive workplace safety culture by encouraging employee awareness, participation, and compliance with established safety practices.
Qualifications
- 2-4 years in an administrative, operations, safety or coordination role
- Previous experience with an EHS logistics, transportation, warehousing, moving, construction or similar operational environment preferred
- Experience maintaining confidential records and tracking compliance related documentation
Safety Knowledge
- Basic working knowledge of workplace safety practices and applicable OSHA requirements.
- General understanding of workplace injury reporting, incident documentation, safety inspections, and corrective-action tracking.
- Familiarity with Workers’ Compensation administration is preferred.
