    Administrative Assistant

    Admissions & Awards Coordinator

    Position Summary

    The Administrative Assistant to the Assistant Principal and Director of Operations and Strategic Advancement is an integral member of the Bishop Dwenger High School administrative team, providing exceptional organizational, clerical, and communication support while advancing the mission and Catholic identity of the school. This position assists the Administration in the daily operations of the school, coordinates all aspects of the student admissions process, and oversees the planning and execution of major academic events, including academic awards programs and graduation.

    This is a part-time, year-round position. During the academic year, the position follows the school calendar and averages approximately 29 hours per week. Summer responsibilities typically require approximately 8–12 hours per week.  Additional hours may be necessary during peak periods throughout the year to support admissions, graduation, and other school initiatives.

    The successful candidate will demonstrate the highest standards of professionalism, discretion, and confidentiality while possessing exceptional organizational abilities, attention to detail, strong interpersonal, technology, and communication skills, and a commitment to fostering a welcoming, faith-filled environment that supports the mission of Bishop Dwenger High School.

    Primary Responsibilities

    Administrative Support

    • Serve as the primary administrative assistant to the Assistant Principal and Director of Operations and Strategic Advancement.
    • Assist with the preparation and distribution of school communications and other items as assigned.
    • Manage the mail from the school by marking postage and putting mail in the mailboxes daily.
    • Assist with lunch duty monitoring.
    • Back up for the Front Office Receptionist and Safe Environment Coordinator.
    • Support faculty and staff with administrative needs as directed.
    • Other tasks as assigned by the Administration.

    Admissions Coordinator

    • Serve as a point of contact for prospective students and families throughout the admissions/application process.
    • Respond to admissions inquiries (phone calls and emails) in a timely and welcoming manner.
    • Maintain accurate admissions records and contacts through the Power School Enrollment portal by processing applications and enrollment documents.
    • Assist with the admissions and accepted student mailings.
    • Prepare admissions reports and enrollment data for school leadership.
    • Assist with new student course selection nights.
    • Plan and monitor placement testing of new students to Bishop Dwenger.
    • Serve as the liaison for the school with Student Exchange Program.
    • Update the website annually with current admissions information working with the Communications Coordinator.
    • Promote Bishop Dwenger High School through positive interactions with prospective families and community partners.

    Awards Coordinator

    • Coordinate and set-up all academic awards and recognition programs including undergraduate awards ceremony, Senior Honors Luncheon, and graduation.
    • Maintain accurate records of student academic achievements.
    • Work collaboratively with faculty and administration to identify award recipients.
    • Coordinate ordering of recognition materials.
    • Prepare event programs, presentations, and recognition materials.
    • Communicate with students, parents, and faculty regarding award criteria and event logistics.
    • Maintain historical records of student awards and recognitions.
    • Work with Jostens on ordering caps, gowns, tassels, and other items.

    • Ability to communicate effectively with students, parents, faculty, and community members.
    • Excellent customer service and relationship-building skills.
    • Ability to work independently while contributing positively to a collaborative administrative team.
    • Flexibility in managing competing priorities during busy admissions and school event seasons.
    • Proficient skills in using technology, including Microsoft Suite and Canva, to maintain records and design awards.
    • Ability to learn Power School and Canvas.

    Start Date:  January 4, 2027, with several paid training sessions scheduled in December 2026. Training dates

            and times are flexible and will be coordinated with the selected candidate.

    Qualifications

    • High school diploma required; associate or bachelor’s degree preferred.
    • Previous experience in administrative support, admissions, education, or customer service preferred.
    • Excellent written and verbal communication skills.
    • Strong organizational and time-management abilities.
    • Ability to maintain strict confidentiality in accordance with school policies and applicable privacy laws.
    • Ability to prioritize multiple responsibilities while maintaining a welcoming and professional demeanor.
    • Supportive of the mission, philosophy, and teachings of the Catholic Church and Bishop Dwenger High School.
