Canopy by Hilton Toronto Yorkville is a 183 - room hotel with a restaurant, street-level café, and over 3500 sq ft of meeting space, located in one of the most exclusive and sought-after areas of downtown Toronto, Canada.

Position Title: Sales Coordinator

Reports To: Director of Sales & Marketing

Job Overview: Performs general clerical and administrative duties to fulfill the needs of the Sales and Events Department.

Position Summary of Duties and Responsibilities:

Handle all administrative functions of the Hotel events. (i.e., contract preparation, filing, scanning, faxing, answering phone calls and inquiries, organizing incoming and outgoing mail, completing departmental monthly reports, V.I.P. form preparation, showroom coordination, distribution of agreements, managing office supplies, introduction, and regret letter preparation, etc.)

• Support daily sales and events operations including administrative coordination, client communication, reporting, and event support.
• Assist with business transient, group, catering, and corporate sales activities including proposals, contracts, site tours, and lead management.
• Maintain CRM systems, account records, sales activity tracking, pipeline updates, and revenue reporting accurately and efficiently.
• Support the planning and execution of hotel events, networking opportunities, client meetings, trade shows, and community partnerships.
• Assist with creating presentations, sales materials, and client-facing communications aligned with brand standards.
• Partner closely with other hotel departments finance, front office, food and beverage, and culinary to ensure accuracy in the group bookings and exceptional guest services.
• Respond to client inquiries, coordinate follow-up communication, and help support exceptional customer service throughout the sales process.
• Maintain organization of sales files, contracts, marketing assets, calendars, and operational systems.
• Help foster a collaborative, energetic, and guest-focused culture aligned with Easton’s and Hilton Brand standards.
• Process Meeting Planner Hilton Honors points for clients.
• Perform other duties as assigned (guest room tours, property tours, special guest requests, maintaining calendars, etc.)

Qualifications and Requirements:

Post-secondary school degree/diploma, in a sales or business discipline, from an academic institution is preferred.

• Two or more years of experience working in a hotel, clerical, or sales role.
• Knowledge of Hilton PEP and Delphi.fdc a plus
• Strong English oral and written communication skills
• Attention to detail
• Planning and organizational abilities
• Proficient in the use of Microsoft Office (Word, Excel, PowerPoint, Teams, Outlook, SharePoint)
• Ability to work under pressure in a fast-paced, stressful environment

This job requires the ability to perform the following:

• On-site office work, five days a week.
• Frequently standing up and moving about the facility
• Type at least 50 wpm; proficient PC skills; Carrying or lifting items weighing up to 25 pounds
• Basic math skills are required.
• May be required to work nights, weekends, and/or holidays.
