Who We Need
You'll be at the heart of our lettings operation. While the Lettings Operations Managers focus on performance and process, you'll keep everything running day to day: handling enquiries, booking viewings, spotting our highest priority leads and guiding applicants smoothly from first contact through to a signed tenancy. If you're the kind of person who hates seeing things slip through the cracks, this role was made for you.
Key Responsibilities
1. Enquiry and lead management
- Handling incoming enquiries from prospective tenants across email, phone and third-party platforms, logging them accurately in Streak (our lead management platform) and Altido (our customer management system)- Identifying high-value and time-sensitive leads and making sure they're followed up quickly
- Progressing leads through every stage, from enquiry to viewing, application and signed tenancy, chasing responses so momentum is never lost
- Guiding prospective tenants through the contracting process, making sure paperwork is complete and nothing holds up a booking
- Making outbound calls to prospective tenants to generate sales, using a natural, conversational approach rather than a rigid script, focusing on helpful advice rather than hard-pressure sales tactics.
- Monitoring enquiries from third-party listing sites so they're picked up and actioned promptly
- Keeping the inbox within our agreed response time targets, escalating early if anything is at risk
2. Viewings coordination
- Booking viewings through our online system, working closely with our local viewing staff in each city
- Following up after viewings, re-engaging no-shows and nudging anyone still making up their mind
3. Applications and tenancy progression
- Processing tenancy applications and paperwork through to offer stage
- Conducting Right to Rent and Anti-Money Laundering checks
- Sending tenant communications through our customer management system
- Keeping tasks and records up to date, and arriving at weekly team meetings with your work accurately reflected
4. Peak season and team support
- Helping to recruit, onboard and coordinate the temporary staff who join us during peak periods
- Providing general admin support to the Lettings Operations Manager, including reporting and ad hoc projects
Key Qualifications & Skills
Essential
- Excellent organisational skills and a sharp eye for detail; you enjoy bringing order to a busy workload
- Confident, friendly written and verbal communication, comfortable handling a high volume of enquiries
- The ability to work through a structured daily task list while taking ownership of shifting priorities, judging which tasks and leads matter most and flagging early if a deadline is at risk
- Quick to pick up new systems (we use Gmail, Streak, third-party listing platforms and Altido)
- Flexibility to work variable hours during peak season, including some evenings and weekends, repaid as time in lieu
- Willingness to travel occasionally between our cities
- A proactive, can-do attitude and a genuine interest in lettings and property
- Strong ability to make sales phone calls to progress enquiries without fixed scripts.
Desirable
- Experience in a lettings, sales, customer service or admin role
- Familiarity with CRM systems (such as Streak) or property listing platforms
- Experience supervising or coordinating temporary or seasonal staff
- An interest in student accommodation or the wider property sector
Technical Requirements
- Fiber internet (PLDT Fiber, Converge, Globe Fiber, etc.) - recommended speed of 100/50 Mbps
- Backup internet (mobile hotspot or secondary ISP) capable of at least 20 Mbps
- Quiet, conducive home workspace
- OPTIONAL: Wired Ethernet connection preferred during work hours
- OPTIONAL: Power backup (UPS) if the location experiences frequent outages
