You keep complex calendars moving seamlessly, make travel feel effortless, welcome the people who walk through our doors, and help the Executive Office run with the same precision we expect from all Falkers.

Hospitality matters. As part of Falkbuilt’s Concierge team, you help create the experience for everyone from employees and clients to investors and board members, with a commitment to the highest standards of service, professionalism and care.

Discretion is non-negotiable. Priorities change, new challenges show up and new tools and technology, like AI, change how we work. Being tech savvy matters. Anticipating what’s needed before anyone asks is the standard. If you thrive on variety, change and figuring things out, you’ll fit right in. Plus, keeping up with our CEO will help you train for our yearly step-count walking challenge.

The person we’re looking for

You’re organized, resourceful, discreet and almost impossible to rattle. You read the room, anticipate what’s needed, and know when to ask and when to just handle it.

You make complex days feel effortless, from calendars and travel to clients, board members and everything in between. When something goes wrong, you solve it, learn from it and move on.

You’re curious about the business, comfortable with change and new tools, including AI, and always looking for ways to make things work better. A secret love for sales wouldn’t hurt.

What you’ll own

• Protect confidentiality — business and personal — without exception.
• Run complex calendars for the CEO and President. Priorities shift; you keep the day coherent.
• Partner with the Chief of Staff on executive priorities, workflow and follow-through.
• Coordinate meetings, deadlines, events, preparation and follow-up.
• Welcome clients, partners, investors, board members and visitors with genuine hospitality.
• Handle meeting logistics — rooms, technology, catering, materials and the details people only notice when they're missing.
• Arrange domestic and international travel for executives, employees and clients.
• Drive a company vehicle when needed for airport pickups, hotel drop-offs, client transportation, etc.
• Prepare expense reports, corporate credit card reconciliations, executive files, records and confidential documentation.
• Support special projects, internal and external company initiatives, client meetings, tradeshows, Branch Summits and other events alongside the fun and dynamic Concierge team.

• You appreciate the details, communicate clearly and represent the Executive Office with confidence.
• You learn quickly, own mistakes and get better when something doesn’t go as planned.
• You use technology, including Microsoft 365, collaboration platforms, and AI, to work smarter and help the team succeed.
• High standard, service-first, no silos. We get more done when we work together.

• 5+ years supporting senior executives or C-suite leaders as an Executive Assistant or Executive Administrator.
• Exceptional organization, judgment, discretion and written and verbal English communication skills.
• Proven experience managing complex calendars, travel, executive communications and confidential information.
• Strong proficiency with Microsoft 365 and SharePoint, with comfort using collaboration platforms, modern technology and AI tools.
• The ability to work independently, collaborate effectively as part of a team, and adapt quickly when priorities change.
• A valid driver’s license, clean driving record and comfort driving guests in a company vehicle.
• A service-first mindset, you like people, order, and making hard days look easy.

This is an in-office position at Falkbuilt HQ in Calgary. Occasional travel and after-hours support will be required.
