PRIMARY PURPOSE OF THE ROLE
The Camp & Farm Accountant is responsible for managing and maintaining accurate financial and administrative records across camp and farm operations, respectively, including tracking daily operational expenses, workforce-related costs, petty cash, inventory usage, and supporting payroll documentation.
The role ensures financial accountability, cost control, operational visibility, and compliance with company policies and applicable financial, tax, and labour regulations in Guyana.
This position supports Geotic Industries Inc.’s integrated operational model by ensuring that all financial activities across camp and farm environments are properly recorded, monitored, and reported.
KEY DUTIES AND RESPONSIBILITIES
A. Financial Record Keeping & Bookkeeping
- Maintain accurate and up-to-date financial records for all camp and farm transactions
- Record daily expenses including:
- Food supplies
- Fuel and maintenance
- Transportation
- Accommodation
- Labour and services:
• maintain petty cash records and perform regular reconciliations
• organise and securely store invoices, receipts, vouchers, and payment records
• maintain general ledgers and supporting financial documentation
B. Expense Monitoring & Cost Control
• Track operational and workforce-related expenses against approved budgets
• Monitor spending trends and report variances to management
• Identify unusual or unauthorised expenditures and report discrepancies immediately
• Support cost control initiatives and financial efficiency across operations
C. Payroll Support & Workforce Cost Documentation
- Prepare payroll support documentation including:
- Attendance records
- Rosters
- Overtime summaries
- Allowances and deductions:
- verify timesheets and work records submitted by supervisors
- maintain confidential payroll records
- provide accurate workforce cost data to hr and finance for payroll processing
D. Inventory, Purchases & Supplies Accounting
- Maintain financial records of inventory and consumables, including:
- Food supplies
- Cleaning materials
- Fuel
- PPE
- Bedding and general consumables
- reconcile inventory records with store or warehouse reports
- track stock usage, purchases, and asset-related expenses
- report shortages, losses, or discrepancies to management
- support stock audits and inventory valuation
E. Financial Reporting
- Prepare basic financial summaries and operational reports, including:
- Monthly expense reports
- Workforce cost summaries
- Payroll cost reports
- Inventory cost reports
- Petty cash reconciliations
- Provide financial updates to the COO, HR or Finance Manager
- Support budgeting, forecasting, and financial planning inputs
F. Audit & Compliance Support
- Support internal and external audits by providing financial records and explanations
- Ensure all financial documentation is available for inspection
- Assist with compliance requirements including:
- Tax-related reviews
- NIS-related documentation
- Internal financial controls
- Maintain audit-ready records at all times
G. Documentation & Internal Controls
- Follow company internal control procedures for approvals, payments, and reporting
- Maintain strict confidentiality of financial and employee data
- Report any suspected financial irregularities, fraud, or policy breaches
- Ensure financial records are properly stored, secured, and backed up
H. General Responsibilities
- Use accounting systems, spreadsheets, and financial tools as directed
- Communicate financial risks and operational issues to management
- Coordinate with camp supervisors, farm supervisors, HR, and logistics teams
- Perform any other related duties within the scope of the role
REPORTING RELATIONSHIP
- Reports to: Chief Operating Officer (COO) and/or Finance Manager
- Works closely with:
- Camp Supervisor
- Farm Supervisor
- Human Resources
- Procurement / Logistics teams
SAFETY AND COMPLIANCE OBLIGATIONS
The Camp & Farm Accountant shall:
- Maintain strict confidentiality over financial, payroll, and employee data
- Comply with all company financial policies and internal controls
- Adhere to financial, tax, and labour laws of Guyana
- Cooperate fully with audits, inspections, and investigations
- Not authorise payments or transactions outside approved procedures
- Comply with camp safety rules and Occupational Safety and Health (OSH) policies
Failure to comply may result in disciplinary action.
MINIMUM QUALIFICATIONS
- Minimum age: 18 years
- Diploma or certificate in Accounting, Finance, Business Administration, or related field
- Minimum 2 years’ experience in accounting, bookkeeping, or finance (preferred)
- Basic knowledge of financial record keeping and accounting principles
- Medically fit for hybrid site-based work
KNOWLEDGE AND EXPERIENCE
- Proven experience in bookkeeping or accounting functions
- Experience handling petty cash and operational expenses
- Proficiency in spreadsheets and accounting tools (e.g. Microsoft Excel)
- Strong attention to detail and high level of accuracy
- Ability to manage confidential information
- Ability to work in remote or camp-based environments
- Ability to manage multiple financial records and meet deadlines

- This role supports both camp and farm operations and requires flexibility
- Work may be performed in both administrative and site-based environments
