    POSITION SUMMARY

    The Preconstruction Coordinator is responsible for coordinating the estimating functions of the preconstruction department under the direction of the Director of Preconstruction and senior estimating staff. He or she is responsible for interfacing with subcontractors, suppliers, and A/E firms in a professional manner. Establishes and maintains documents for the estimating department. Distributes and tracks construction documents for bids.  Informs subcontractors of upcoming bids, bid dates, and addenda. Understands subcontractor scopes of work along with project drawings and specifications as they relate to divisions of work. Needs to be proactive, highly organized, able to multi-task, detail-oriented, and display professional behavior in all communications to clients and staff.  Motivated and enthusiastic to always collaborate and demonstrates the ability to be flexible yet be able to meet changing deadlines without disruption.

    KEY COMPETENCIES

    • Contribute to the organization of daily efforts and activities of the preconstruction staff. Organization of activities may apply to bidding, request for proposals, and qualifications.
    • Document control as it pertains to drawings, specifications, and addenda for projects, both internal and external documentation.
    • Hub for the gathering and dissemination of information coming into the preconstruction department.
    • Take responsibility for creating and maintaining organizational strategies for the department and dissemination of information and management of preconstruction staff time relative to department priorities.
    • Compose and send out bid invitations to appropriate subcontractors and material suppliers
    • Maintain and update subcontractor database
    • Contact subcontractors and seek commitments to bid
    • Maintain and update current and past project database
    • Contribute to the distribution of quotes on bid day, manage bid emails on bid day
    • Schedule bid runner to deliver bids
    • Schedule and coordinate monthly First Friday subcontractor meetings
    • Attend prebid meetings and site visits for potential projects
    • Additional duties as assigned

    QUALIFICATIONS

    Education & Experience

    • Four-year degree preferred
    • Knowledge of construction industry preferred

    Skills

    • Basic personal computer and e-mail skills
    • Proficient with MS Office Suite (Word, Excel, Outlook)
    • Knowledge of Bluebeam Revu (PDF editor) and bid management software preferred
    • Experience managing databases preferred
