The Opportunity:
The Physician Registry and Support Administrator’s daily tasks involves following Ministry policies and procedures while communicating verbally and in writing, with many internal and external contacts in regards to insured services, physician and clinic information. This person will be responsible for following privacy legislation regarding the release of information and the protection of personal health information.
Responsibilities
- Prepare, format, proofread, and process documents, correspondence, and reports.
- Maintain organized electronic and paper files; update, retrieve, and archive records according to procedures.
- Enter, update, and verify data in databases, spreadsheets, and ministry systems.
- Produce routine reports and summaries to support program operations.
- Respond to phone, email, and in‑person inquiries; provide information or direct clients to appropriate staff.
- Process administrative transactions, applications, and financial documents such as invoices and payments.
- Handle incoming and outgoing mail and ensure timely document distribution.
- Check documents and data for completeness, accuracy, and compliance with policies.
- Provide basic support for office software and equipment troubleshooting.
- Maintain confidentiality, adhere to records-management standards, and work collaboratively to support efficient, client-focused office operations.

Technical Knowledge and Skills:
Medical Terminology where your experience with legal documents, medical documents or contracts has resulted in recommendations that will affect decision making;
Computer applications for doing data entry, entering information into spreadsheets and managing email in a Microsoft Windows environment;
Office practices and procedures, records management, filling systems, equipment, procedures and protocols;
Computer software packages such as Microsoft Suite in order to design, format and/or modify lengthy, complex documents accurately and quickly; and,
Acrobat Standard or Acrobat Pro in order to manipulate and restructure large scale documents.
