    Job description

    Job Title: Senior Project Administrator / Senior Training Coordinator 
    Location: Pune/Onsite
    Contractual role for 8 months 

    Role Purpose 

    The Senior Project Administrator / Senior Training Coordinator is responsible for providing end-to-end operational, administrative and logistical support for complex learning programs, leadership events and strategic projects. Working under routine direction, the role coordinates multiple HSBC stakeholders, manages program logistics, supports reporting and analytics, and provides on-site operational support to ensure seamless delivery of learning initiatives.

    The role requires an organized, proactive individual who demonstrates strong ownership, attention to detail and the ability to independently resolve operational challenges while collaborating with project teams, vendors and client stakeholders. Works under routine direction and exercises sound judgement in resolving operational issues and coordinating program activities.

    Illustrative Role Responsibilities 

    Program Coordination 

    • Coordinate end-to-end logistics for leadership program and learning events.
    • Manage program schedules, milestones and readiness activities.
    • Coordinate participant enrolments and program administration with internal learning teams.
    • Monitor program timelines and ensure all deliverables are completed on schedule.
    • Coordinate project activities across multiple stakeholders and locations.

    Event & Venue Management 

    • Coordinate hotels, venues and event logistics.
    • Manage relationships with external event vendors, printing suppliers and venue partners.
    • Coordinate room layouts, branding, signage and learning environments.
    • Ensure program materials, participant packs and event collateral are available and correctly positioned.
    • Support venue walkthroughs before program delivery.
    • Monitor venue readiness and resolve operational issues promptly.

    Operational Delivery 

    • Provide on-site operational support during learning program and leadership events.
    • Coordinate facilitators, ambassadors, venue teams and suppliers throughout program delivery.
    • Manage last-minute program changes and operational requests.
    • Ensure seamless participant experience throughout program execution.
    • Monitor quality standards and ensure all operational activities align with program requirements.

    Experience 

    • Experience supporting complex projects or programs.
    • Experience coordinating learning programs, events or large-scale training initiatives.
    • Experience working with multiple stakeholders and external vendors.
    • Experience working within fast-paced operational environments.
