Position Summary
Grant’s Farm is seeking a safety-focused and experienced Vehicle Fleet Supervisor to oversee the daily operation, maintenance, and repair of the organization’s fleet. This role is responsible for ensuring all vehicles, equipment, and support systems are safe, reliable, compliant, and ready to support daily operations and special events.
The Vehicle Fleet Supervisor provides leadership for fleet maintenance activities, preventative maintenance programs, inspections, vendor coordination and budget tracking. This position also plays a critical role in promoting the safety and well-being of team members, guests, animals, and overall farm operations through proper vehicle upkeep, training, and procedures.
Essential Job Duties
Fleet
- Manage daily operations of the vehicle garage, including scheduling, workflow, inspections, and maintenance through a PM system.
- Preform preventative maintenance and repairs for all fleet vehicles, trailers, utility equipment, and support machinery
- Diagnose mechanical, electrical, hydraulic, and basic engine issues; perform repairs or coordinate outsourced service as appropriate
- Maintain accurate maintenance records, inspection logs, service schedules, and compliance documentation
- Ensure vehicles and equipment meet safety, regulatory, and operational standards at all times
- Supervise, train, and support garage staff or assigned maintenance personnel
- Coordinate with operations, animal care, and guest services teams to ensure fleet readiness
- Operate and oversee use of garage equipment including lifts, jacks, diagnostic tools, compressors, and material-handling equipment
- Support emergency response and after-hours vehicle or equipment needs
- Conduct routine inspections of garage facilities, tools, and equipment; report and address deficiencies
- Enforce safety policies, proper PPE use, and housekeeping standards within the garage
Vendor & Contractor Management
- Coordinate with external vendors and service providers for specialized repairs, inspections, warranties, and parts sourcing
- Obtain quotes, review proposals, and recommend vendors based on cost, quality, safety, and reliability
- Monitor vendor performance to ensure work meets scope, schedule, and safety expectations
- Maintain service agreements, warranty records, and vendor contact documentation
- Serve as the primary point of contact for fleet-related vendors and contractors
- Support fleet lifecycle planning by tracking vehicle age, condition, utilization, and maintenance history
- Assist in identifying vehicles and equipment requiring major refurbishment
- Assist in the development and management of the annual fleet and garage operating budget
- Track maintenance costs, parts usage, and repair expenses; identify trends and cost-saving opportunities
- Evaluate cost-effectiveness of in-house repairs versus outsourced services
- Must be at least 18 years of age with a minimum of 2–3 years of fleet, automotive, or equipment maintenance experience (supervisory experience preferred)
- Strong working knowledge of vehicle systems including engines, brakes, steering, suspension, electrical, and hydraulics
- Experience with preventative maintenance programs, vendor coordination, and cost tracking
- Ability to read manuals, service documentation, and basic diagnostic data
- Strong organizational, analytical, and problem-solving skills
- Ability to work both independently and as part of a cross-functional team
- Comfortable working outdoors and in a garage environment year-round
- Valid driver’s license required
Physical Demands & Work Environment
- Must be able to lift or carry up to 80 lbs
- Must be able to stand, walk, bend, kneel, and work in tight or confined spaces
- Must be able to operate vehicles, heavy equipment, and power tools safely
- Must be able to work a flexible schedule including days, weekends, evenings, and holidays
- Must be able to work indoors and outdoors in varying weather conditions including heat, cold, and inclement weather
