Own everything the team eats: daily lunches, breakfasts, snacks, coffee, drinks. Choose vendors, place orders, manage delivery timing, and make sure food arrives hot and on schedule — every day, without reminders.
Handle dietary needs and preferences, collect feedback, and rotate the menu so people actually look forward to lunch.
Keep the kitchen and snack stock full at all times. Nobody should ever find an empty coffee machine or an empty fridge.
Track food spend, compare vendors, and negotiate better terms as the team grows.
Keep the office running end to end: cleaning, supplies, water, repairs, furniture, plants, lighting, temperature — all of it.
Be the main point of contact for landlords, cleaning services, delivery couriers, repair crews, and other vendors. Escalate fast, follow up until things are actually resolved.
Set up and improve workspaces: desks, meeting rooms, quiet areas, lounge zones. Make the space something people choose to be in.
Run the logistics of team events, all-hands, and guest visits — space, food, setup, teardown.
Build simple systems that make all of this repeatable: inventory trackers, vendor lists, order schedules, onboarding checklists.
Spot recurring annoyances and eliminate them permanently instead of solving them one by one.
Keep documents, invoices, and receipts from vendors organized and handed off to finance on time.
1+ years as an Office Manager, Administrative Assistant, or Coordinator (flexible for high-potential candidates).
Strong organizational skills and real attention to detail — you notice the empty water cooler before anyone mentions it.
Ability to juggle many small tasks at once and react quickly when something breaks.
Initiative to improve and systematize processes rather than firefight forever.
Excellent communication skills for working with vendors, couriers, contractors, and internal teams.
Proficiency in Excel, Google Sheets, Notion, Google Calendar, and Slack.
Fluent English.
Experience in startups or high-growth environments.
Hands-on experience with laptop setup, IT inventory, or basic hardware troubleshooting.
An existing network of reliable vendors — catering, cleaning, repairs, equipment.
Interest in growing into Project Management, Workplace Operations, or IT Operations.
