Position Overview

We have an exciting opportunity for Logistics Assistant (Wrap Up Campaign) position within the Programme department. The Logistics Assistant (Wrap Up Campaign) support the successful delivery of the Winter Campaign (Wrap Up Campaign) by coordinating and executing logistics operations, ensuring the timely and efficient movement, storage, and distribution of campaign materials. The Logistics Assistant works closely with internal teams, volunteers, and external partners to maintain accurate inventory records, manage donations, coordinate transport requirements, and ensure all logistical aspects of the campaign run smoothly.

This role plays a key part in ensuring vulnerable communities receive support during the winter period and offers hands-on experience in charity operations, volunteer supervision, stakeholder engagement, and campaign delivery.

Main Responsibilities

Logistics Coordination

• Coordinate the movement of campaign stock, equipment, and materials between storage locations, collection points, and distribution sites.
• Support transport planning and route coordination to ensure timely deliveries and collections.

Inventory Management

• Maintain accurate inventory records of all campaign stock and donated items.
• Conduct regular stock counts and reconciliations.
• Monitor stock levels and report shortages, surpluses, or discrepancies.

Donation Management

• Receive, sort, and quality-check donated items in accordance with campaign standards.
• Ensure donations are stored safely and organised efficiently for distribution.

Order Processing

• Process requests for campaign materials and beneficiary distributions accurately and promptly.
• Prepare stock for distribution and ensure correct documentation is completed.

Deliveries and Distribution

• Assist with deliveries, collections, and distributions across campaign locations.
• Support the setup and breakdown of collection points, warehouses, and community distribution events.

Volunteer Coordination

• Support the induction, coordination, and supervision of campaign volunteers.
• Provide clear instructions and guidance to volunteers, ensuring a positive volunteering experience.
• Monitor volunteer activities and escalate any issues as required.

Campaign Readiness

• Ensure campaign materials, equipment, and stock are prepared and available for scheduled activities.
• Support the implementation of campaign logistics plans and operational schedules.

Stakeholder Engagement

• Act as a professional ambassador for the organisation when engaging with donors, volunteers, community groups, and partner organisations.
• Develop positive working relationships with key stakeholders to support campaign success.

Fleet and Asset Management

• Assist with the management and maintenance of campaign vehicles, equipment, and storage facilities.
• Conduct routine vehicle and equipment safety checks and report any issues promptly.

Health & Safety Compliance

• Follow organisational health and safety policies and procedures.
• Ensure safe handling, storage, and transportation of stock and equipment.
• Report accidents, incidents, and hazards promptly.

Issue Resolution

• Identify, investigate, and resolve operational and logistical issues.
• Escalate significant risks or disruptions appropriately.

Data Management and Reporting

• Maintain accurate campaign records, stock reports, and logistics documentation.
• Provide regular updates to management on inventory, distribution, and operational performance.

Continuous Improvement

• Identify opportunities to improve logistics processes and operational efficiency.

• Contribute ideas and recommendations to enhance future campaign delivery.

Candidate essential criteria

• GCSEs (or equivalent), including English and Mathematics
• Experience in logistics, warehousing, charity campaigns, events, retail operations, or community programmes
• Experience coordinating deliveries, stock management, or operational activities
• Experience working with volunteers, customers, or community stakeholders
• Experience sorting and quality-checking donated items or stock
• Full UK Driving Licence
• Ability to drive hired vehicles, including large vans
• Ability to safely lift, move, and handle campaign materials
• Willingness to work flexible hours, including occasional evenings and weekends
• Microsoft Word
• Microsoft Excel
• Microsoft Outlook
• Microsoft Teams
• Ability to learn and use inventory management and CRM systems
• Excellent spoken and written English

Candidate desirable criteria

• Relevant qualifications in logistics, warehousing, transport, supply chain, events, or operations
• Experience using inventory or stock management systems
• Experience within the charity or non-profit sector
• Experience driving larger vehicles or coordinating transportation logistics
• HGV Licence
• First Aid qualification
