Your Primary Focus — Phone Scheduling and receptionist duties:
- Answer incoming calls promptly, professionally, and warmly — you're the first voice patients hear
- Schedule, confirm, and reschedule patient appointments with accuracy, efficiency, and care
- Greet patients warmly when they arrive and assist as needed with check-in and out for visits
- Address patient questions about appointments, procedures, insurance, and billing both over the phone and in-person
- Build rapport over the phone — patients should feel heard, valued, and excited about their upcoming visits
- Manage the scheduling system to ensure appointments are accurate and the schedule runs smoothly
- Patient Payments: take patient payments at check in or check out and accurately record them in the patient record
Supporting the Office:
- Manage patient records to ensure all information is current and precise
- Process patient payments accurately and professionally
- Support the team with filing, scanning, data entry, and other administrative tasks as needed
- Communicate effectively with patients, providers, and teammates — clear communication is everything
Schedule & Pay:
- Full-Time Position: 38-40 hours per week
- Hours: Monday–Friday scheduling typically 7:30-4:30
- Starting Pay: $18.50–$19.50/hour based on experience and performance
- Note: Schedule may adjust for Federal holidays and staff vacation coverage

Required:
- Strong customer service experience (retail, hospitality, or similar environments count!). Prefer at least 18 months in a medical, med spa or dental setting
- Excellent phone etiquette and communication skills
- Willingness to learn and grow in a medical setting
Preferred:
- Prior experience in a medical office or patient-facing healthcare environment
- Familiarity with scheduling software or patient management systems
- Basic understanding of medical insurance and billing concepts
