Service Contracts Coordinator

Primary Function of Position:

The Service & Subscription Contract Coordinator will perform a full spectrum of contracts administration tasks including billing and negotiation of service contract and subscription renewals. Ensure all customer needs and requirements are attended to for all service contract related business.

Roles and Responsibilities:

• Responsible for drafting, reviewing, and negotiating service contracts and digital subscription addendums and documentation associated with renewals and offerings.
• Analyze contracts to ensure compliance to company policy, government regulations, and revenue recognition requirements.
• Enter and maintain service contracts for released products in the Contract Database.
• Process Service Contract and subscription billings for customers, including obtaining and managing POs or other documents.
• Process lease event and billings for customers, including obtaining and managing POs or other documents.
• Maintain Intuitive’s various contract databases.
• Generate and distribute reports for the purpose of monitoring and measuring service contract status and revenue.
• Support the Tender team with data and insights related to Service Tenders.
• Work with the IT team to support testing of new system implementations, bug fixes, and information system improvements.
• Assist Finance and Field Service on service contract collections.
• Support Field Service in the daily service contract activities.
• Assist Contracts team with System Move agreements.
• Develop and maintain positive customer relations with external customers; coordinate various functions within the company to ensure customer satisfaction.
• Back up for the tender cycle and all related activities for Spain and Portugal, including but not limited to tender tracking, submission and renewal for all products.

Required Knowledge, Skills, and Experience:

• Knowledge of standard legal terms and conditions
• Excellent written and verbal communication skills
• Fluency in Spanish, Portuguese and English required.
• Detail oriented, organized, and able to function in a fast-paced environment
• Proficient in MS Office
• Proficient SAP skills and a general knowledge of its reporting functions
• Proactive and ability to work independently
• Ability to manage multiple projects simultaneously

Required Education and Training

• BA/BS preferred or equivalent experience
• Minimum 4 years of related work experience

This position may be filled at a different job level than listed here depending on business need and/or on the selected candidate’s experience, knowledge and skills.
Compensation will be based primarily on the job level at which the role is filled and the candidate’s qualifications, consistent with applicable law.
