    Job Description

    Key Responsibilities

    Executive & Administrative Support

    • Manage highly complex and dynamic executive calendars across multiple time zones, ensuring optimal prioritization of business-critical activities.
    • Coordinate and schedule internal and external meetings, leadership forums, town halls, client engagements, and cross-functional discussions.
    • Anticipate scheduling conflicts and proactively recommend solutions to maximize executive effectiveness.
    • Screen, prioritize, and manage correspondence, meeting requests, and inquiries on behalf of executives.
    • Prepare and coordinate briefing materials, agendas, presentations, reports, and supporting documentation for executive meetings.

    Leadership Operations & Coordination

    • Support day-to-day operations of the Technology Leadership team across India, Hong Kong, and the broader APAC region.
    • Track key action items, leadership commitments, and follow-ups arising from executive meetings and business reviews.
    • Coordinate leadership team meetings, off-sites, planning sessions, and strategic workshops.
    • Assist with monitoring organizational priorities, ensuring timely completion of deliverables and stakeholder communications.
    • Facilitate cross-functional collaboration among Technology, Business, Operations, Risk, Compliance, Finance, HR, and Vendor Management teams.

    Communication & Stakeholder Management

    • Draft, review, and manage executive communications including emails, announcements, presentations, town hall materials, and leadership updates.
    • Serve as a primary point of contact for senior leaders, business stakeholders, external partners, and regional teams.
    • Build strong relationships across executive offices globally to facilitate efficient coordination and decision-making.
    • Ensure professional handling of sensitive and confidential information.

    Travel & Event Management

    • Coordinate complex domestic and international travel, including flights, accommodations, visas, transportation, and detailed itineraries.
    • Manage travel logistics across India, Hong Kong, and other APAC locations.
    • Coordinate leadership visits, executive meetings, conferences, and employee engagement events.
    • Support expense management, reconciliation, and submission in accordance with company policies.

    Meeting & Governance Support

    • Organize leadership governance meetings and executive review sessions.
    • Develop agendas and meeting materials and ensure participants are appropriately prepared.
    • Capture key decisions, actions, and follow-up items where required.
    • Maintain records, documentation, and organizational information repositories.

    Strategic Support

    • Assist executives in managing strategic initiatives and organizational priorities.
    • Support preparation of leadership presentations, business reviews, operating reviews, and organizational updates.
    • Conduct research and gather information needed to support executive decision-making.
    • Identify opportunities to improve administrative processes, workplace productivity, and executive support practices.

    Required Qualifications

    • Bachelor's degree or equivalent experience.
    • 8+ years of experience supporting senior executives, preferably within Technology, Financial Services, Asset Management, or a global corporate environment.
    • Proven experience supporting C-suite leaders, CIOs, CTOs, Engineering Leaders, or equivalent senior executives.
    • Strong understanding of global business operations and executive office management.
    • Demonstrated ability to handle confidential information with discretion and professionalism.

    The Executive Assistant will be successful by:

    • Enabling seamless executive operations across India and Hong Kong/APAC.
    • Maintaining highly effective executive calendars and stakeholder engagements.
    • Ensuring flawless coordination of leadership meetings, travel, and communications.
    • Anticipating executive needs and resolving issues proactively.
    • Building trusted partnerships with senior leaders and key stakeholders.
    • Improving overall executive productivity and operational efficiency.

    This version positions the role appropriately for supporting leaders such as a Global Head of Engineering Services and a senior APAC Technology Executive, making it attractive to experienced EAs who can operate as strategic business partners rather than pure administrative coordinators.
