    • Maintain field service schedules, assignments, and resource availability
    • Process time reporting, expense claims, customer invoicing, and cost-allocation corrections
    • Prepare and distribute visit documentation, service reports, and performance information
    • Communicate with customers and Field Service Engineers to confirm appointments, manage enquiries, and resolve scheduling issues
    • Provide administrative support and guidance to junior coordinators and administrative colleagues
    • Work closely with Service Management and internal teams to ensure efficient and coordinated service delivery
    • Maintain accurate records and documentation in relevant service, CRM, and ERP systems
    • Follow established procedures and support compliance with company policies, quality standards, and regulatory requirements

    • Support training and development activities for field service administrative teams
    • Provide additional administrative support to Field Service Management as required

    About You

You are an organised, proactive, and service-minded professional who enjoys working in a fast-paced environment where priorities can change. You are comfortable managing multiple activities simultaneously, communicating with different stakeholders, and taking ownership of tasks from start to finish.

    • The ability to manage competing priorities and work to deadlines
    • Confidence working with colleagues across different functions and levels
    • A willingness to support and guide less experienced colleagues
    • A continuous-improvement mindset and willingness to identify better ways of working

    Experience & Education

    • Experience in field service administration, service coordination, customer service, logistics, or a similar operational environment
    • Experience working with service, CRM, or ERP systems is preferred
    • Good understanding of administrative processes, scheduling, invoicing, and reporting
    • Experience working with time reporting and expense processes is advantageous
    • Strong Microsoft Office skills, particularly Excel and Outlook
    • Experience working in a technical, engineering, manufacturing, or industrial environment is an advantage
    • Ability to work effectively within a multicultural and multidisciplinary organisation
    • Good written and verbal English skills; additional languages are an advantage
