POSITION OVERVIEW

This role supports Maesa’s Legal team, with primary responsibility for global trademark portfolio administration and meaningful support for general corporate and commercial matters. The ideal candidate brings substantial hands-on trademark experience, strong transactional paralegal skills, excellent judgment, and the ability to independently manage competing priorities in a fast-paced, global environment. 

Per the Maesa hybrid policy, this role mandates the minimum of three (3) days in the NYC office. 

KEY RESPONSIBILITIES

Trademark

• Manage and maintain the global trademark portfolio, including filings, office action deadlines, renewals, and post-registration maintenance filings in the U.S. and internationally.
• Conduct preliminary trademark clearance searches, including federal, state, domain name, marketplace, and common-law searches, and prepare concise written summaries for attorney review.
• Support product and brand naming initiatives by tracking proposed names, coordinating clearance timelines, organizing search results, and communicating status and deadlines to internal stakeholders.
• Maintain the trademark docket and accurate portfolio records.
• Coordinate with outside and foreign counsel on prosecution, oppositions, and enforcement matters.
• Prepare and coordinate trademark filings and supporting documentation, including gathering specimens and evidence of use.
• Review trademark watch notices and online marketplace activity; escalate potential conflicts or infringement; and assist with takedown requests, cease-and-desist letters, and enforcement files.
• Maintain organized electronic files for trademark searches, opinions, prosecution records, correspondence, and evidence of use.

Corporate and Commercial Support

• Draft, review, and revise routine nondisclosure agreements using approved templates and playbooks, and identify nonstandard terms for attorney review.
• Conduct legal and factual research and prepare clear summaries, chronologies, and supporting materials for attorney review.

Files and Legal Operations

• Manage the legal document repository and contract management system, including intake, version control, executed agreements, and retention.
• Support corporate governance and entity management, including annual filings, good-standing certificates, organizational documents, board and shareholder consents, and maintenance of entity records.
• Maintain trackers, templates, forms, and process documentation; identify opportunities to improve legal workflows and implement practical process enhancements.
• Assist with policy updates, audits, compliance documentation, special projects, and cross-functional initiatives.
• Provide responsive support to internal business teams while appropriately managing expectations, priorities, and deadlines.

QUALIFICATIONS AND REQUIREMENTS

• 4+ years of related paralegal experience, including substantial hands-on trademark portfolio experience.
• Strong organizational and project-management skills, with the ability to prioritize and manage multiple assignments in a fast-paced environment.
• Proven ability to work independently, exercise sound judgment within established guidelines, take ownership of assignments, and escalate issues appropriately.
• Excellent written, verbal, and interpersonal communication skills, with the ability to collaborate effectively and manage expectations across internal stakeholders and outside counsel.
• Meticulous attention to detail and a demonstrated commitment to accuracy and deadlines.
• A proactive, solutions-oriented mindset and a drive to improve processes, tools, and best practices.
• Ability to handle confidential and privileged information with discretion.
• Proficiency in Microsoft Office, including Word, Excel, PowerPoint, Outlook, and Teams.
• Curiosity and willingness to learn and develop new areas of expertise.

What We Offer 

$95,000–$115,000 per year. Exact compensation may vary based on skills, experience, and location. This position is eligible for participation in a discretionary bonus plan based on individual and company performance.
