    Overview

    Nakupuna Companies is seeking a Facilities, Logistics, and Property Coordinator to support the Defense POW/MIA Accounting Agency (DPAA) East office. The position coordinates day-to-day facility operations, maintenance work orders, logistics services, government property accountability, and on-site support projects. The employee also escorts uncleared personnel within the Sensitive Compartmented Information Facility (SCIF) and maintains the records needed to protect secure areas and support audit readiness. Success requires sound judgment, careful documentation, responsive customer service, and close coordination with DPAA personnel, Washington Headquarters Services (WHS), JBG Smith, the General Services Administration (GSA), and service vendors.

    Responsibilities

    The following duties reflect management's current definition of the position's essential functions. Management may assign related duties based on contract requirements, operational needs, or reasonable accommodation.

    Facilities Operations and Work Order Management

    • Serve as the primary point of contact for DPAA East facility requests affecting the fourth- and eighth-floor offices.
    • Receive service requests from DPAA personnel and identify additional deficiencies through weekly inspections of occupied spaces.
    • Enter, track, update, and close work orders in the applicable JBG Smith, WHS, GSA, or DPAA system, including Maximo when required. Maintain a current log of requests, status, responsible parties, scheduled visits, and completion dates.
    • Inspect office areas each week for heating, ventilation, and air conditioning issues; water leaks; abnormal equipment noise; failed lights or ballasts; carpet stains; and other maintenance deficiencies. Promptly document and report identified issues.
    • Coordinate maintenance visits and facility access with JBG Smith, DPAA personnel, and other stakeholders to minimize disruption to mission operations.
    • Represent DPAA, when authorized, at tenant and facility coordination meetings with WHS, JBG Smith, GSA, or other parties. Document decisions, assigned actions, and follow-up requirements.

    Facilities Project and Emergent Repair Support

    • Support planning and execution for minor facility improvements, emergent repairs, furniture reconfiguration, equipment installation, and other facility and equipment repair work within the contract scope.
    • Coordinate site surveys, vendor visits, schedules, access, statements of work, quotes, and government reviews under the direction of the DPAA Facilities Manager and Nakupuna program leadership.
    • Track active work through completion and provide clear weekly status updates that identify progress, decisions needed, schedule risks, dependencies, and next actions.
    • Maintain completion records that identify labor and material charges for at least six months, or longer when required by contract or company record-retention requirements.
    • Support recurring facility planning for maintenance, energy, space use, equipment needs, and logistics. Apply practical trade knowledge and escalate technical or safety concerns to the appropriate authority.

    SCIF Escort and Secure Area Control

    • Provide escort coverage for uncleared custodial personnel, JBG Smith maintenance personnel, service vendors, and other authorized visitors working within the SCIF.
    • Coordinate routine and emergent escort requirements with affected DPAA personnel and schedule visits as promptly as operational and security conditions allow.
    • Maintain continuous accountability for escorted personnel, follow all visitor-control and SCIF procedures, prevent unauthorized access to information or spaces, and immediately report security concerns.
    • At the end of each escort, confirm that all uncleared personnel have departed, work areas are secure, and required logs and tracking records are complete.
    • Provide regularly scheduled custodial escort coverage and additional escort support during normal duty hours, including maintenance work and DPAA-requested activities.

    Property Accountability and Inventory

    • When appointed in writing, serve as a primary or alternate Property Custodian and perform duties in accordance with Department of Defense Instruction 5000.64, DPAA policy, appointment orders, and the DPAA Accountable Property Office standard operating procedure.
    • Maintain current records for assigned government property, including identity, serial number, condition, location, value when applicable, hand receipt, and assigned end user.
    • Maintain sub-hand receipts to the user level, document transfers and location changes, and secure property assigned to personnel who are departing or absent for an extended period.
    • Conduct periodic spot checks, support annual inventories and reconciliations, and complete a full inventory when custodial responsibility transfers.
    • Report unrecorded, lost, damaged, destroyed, or stolen property through the required channels and within established timelines.
    • Coordinate the turn-in of excess or unserviceable property with the Accountable Property Officer and Defense Logistics Agency. Prepare or support required inventories, turn-in documents, labels, certifications, packaging, and acceptance records.

    Office Logistics Support

    • Monitor office supply inventory, receive requests, submit resupply needs to DPAA Logistics, receive deliveries, organize and restock supply areas, notify requestors, and distribute items to the appropriate staff.
    • Issue military patches, uniform items, and lapel pins during in-processing and recover designated items during out-processing in accordance with current DPAA procedures. Maintain accurate issue and return records.
    • Maintain organized, complete, and retrievable records for facility requests, inspections, escorts, supplies, property, vehicles, parking validations, projects, and recurring reports.

    Conference and Event Coordination

    • Support the coordination and provide logistical support for conferences, workshops, ceremonies, distinguished visitor engagements, and other DPAA events.
    • Develop event checklists and coordinate facilities, room configuration, audiovisual support, access requirements, parking, transportation, supplies, signage, and printed materials.
    • Coordinate with DPAA stakeholders, security personnel, facilities representatives, vendors, and service providers.
    • Support attendee registration, rosters, invitations, schedules, and on-site event execution.
    • Confirm event spaces are restored and document follow-up actions after each event.

    Executive and Administrative Support

    • Provide routine administrative support to designated DPAA leaders and staff, including calendar coordination, meeting scheduling, correspondence, document preparation, and records management.
    • Prepare meeting agendas, read-ahead materials, attendance rosters, briefing packages, and meeting notes.
    • Track action items, suspense dates, decisions, and required follow-up.
    • Coordinate visitors, conference rooms, security access, parking, transportation, and other meeting requirements.
    • Handle sensitive or controlled information with discretion and in accordance with DPAA procedures.

    Government Vehicle Dispatch and Parking Validation

    • Receive and schedule authorized requests for the DPAA government vehicle, dispatch the vehicle, and maintain usage records that include the user, organization, contact information, mileage, date, and departure and return times.
    • Maintain the overall mileage log and provide usage information to the designated transportation representative when requested.
    • Provide users with current refueling and roadside-assistance instructions. Coordinate scheduled maintenance, tire service, and repair at designated locations, and start the vehicle at least weekly to maintain battery efficiency.
    • Issue parking validations to authorized DPAA visitors and maintain appropriate accountability for the validation account.

    Qualifications

    Required Qualifications

    • High school diploma or General Educational Development credential.
    • At least one year of professional experience in facilities coordination, logistics, property accountability, administrative support, customer service, or a closely related field.
    • Experience using work order, service request, asset tracking, inventory, or similar business applications.
    • Ability to organize competing requests, maintain accurate records, follow detailed procedures, and complete time-sensitive actions with limited supervision.
    • Strong written and verbal communication, customer service, problem-solving, attention to detail, and professional judgment.
    • Working proficiency with Microsoft Outlook, Word, and Excel.

    Preferred Qualifications

    • Experience supporting a Department of Defense or other federal customer in a secure facility.
    • Experience with JBG Smith or GSA service portals, Maximo, Defense Property Accountability System, hand receipts, physical inventories, or Defense Logistics Agency disposition processes.
    • Familiarity with basic facility systems, preventive maintenance, space planning, vendor coordination, and minor repair project documentation.

    Clearance and Access Requirements

    This position requires the ability to obtain and maintain a Top Secret security clearance with Sensitive Compartmented Information (TS/SCI) eligibility and a government-issued Common Access Card. The employee must be a United States citizen and must comply with all DPAA security, visitor-control, information-protection, and facility-access requirements.

    Physical and Work Requirements

    • Perform work on site in an office and SCIF environment during normal duty days and provide scheduled escort coverage during established service windows.
    • Sit and work at a computer for prolonged periods and perform repetitive motions with the hands, wrists, and fingers.
    • Stand and walk for extended periods while conducting inspections or escorting personnel across multiple office floors.
    • Receive and follow audible communications and emergency instructions.
    • Handle and move routine office supplies and property as required, with or without reasonable accommodation.

    Service Contract Act

    This federal government project is subject to the Service Contract Act. The hourly rate for this position is determined by the location where work is performed. In addition to hourly pay, positions subject to the Service Contract Act are entitled to a health and welfare payment, which may be adjusted based on the employee's selection of company benefits in lieu of the health and welfare payment.

    The Nakupuna Companies use a market-based compensation strategy to ensure that our employees are compensated within applicable market rates commensurate with multiple factors, including but not limited to the individual’s particular combination of education, knowledge, skills, competencies, and experience, as well as contract-specific affordability, organizational requirements, and position location. The projected compensation rate for this position is $39.97 per hour. The hourly rate displayed represents the typical rate for this position and is just one component of Nakupuna Companies total compensation package for employees.
