Job Summary
The Human Resources Officer will support the HR Manager with recruitment, employee relations, staff benefits administration, staff compensation, performance management, and training. The ideal candidate should have at least 3 years of Human Resources experience and be highly diligent, detail-oriented, and process-oriented, with a working knowledge of legal processes. The candidate should reside in any of our operational states. Excellent communication skills, a learning mindset, and the ability to adapt quickly while managing HR systems are essential for success in this role.
Job Responsibilities and Tasks
Recruitment (20%)
- Conduct FO selection and in-person interviews at the LGA level.
- Take the lead in managing in-person interviews of shortlisted FO candidates through local New Incentives team members.
- Escalate any gaps, challenges, or noncompliance to the HR Manager for immediate follow-up.
- Liaise with the SR unit and community leaders to ensure locals are recruited.
- Promote job ads on social media and do outreach on platforms like LinkedIn and your network to identify candidates.
- Assist the HR Manager with sending invitations, following up with candidates by phone, scheduling interviews, and conducting reference and background checks.
- Send feedback for the concluded recruitment exercise.
- Prepare the recruitment Gsheet during and after the process.
Onboarding, Benefits and Compensation Management (40%)
- Follow up with the new employees to ensure that pension and NHF registrations are completed and that numbers are generated.
- Follow up on the new office account opening during onboarding.
- Liaise with PFAs, NHF, NSITF, and tax offices to follow up on remittances.
- Physical Training sessions for new hires in the state
Employee Performance Management and Training (10%)
- Support the implementation of the performance management system that includes Performance Improvement Plans (PIPs) and employee development programs.
- Assist and sometimes facilitate an in-house employee training system that addresses company training needs, including training needs assessment, new employee orientation or onboarding, management development, production cross-training, the measurement of training impact, and training transfer.
- Assists managers with the selection and contracting of external training programs and consultants.
- Assists with the development of and monitors the spending of the corporate training budget.
Administration (25%)
- Ensure employee information is up to date.
- Responsible for following up with respective state staff to submit missing data/information
- Provide support to State Field Managers at the state level with staff documentation, including onboarding, offboarding, orientations, and more, and remain the state focal point for addressing staff concerns
- Review employee leave applications on Zoho and ensure the proper documents are uploaded.
- Any other duty that the HR Manager or console may assign.
Security Awareness (5%)
- Report all security incidents in areas of operations, including incidents that do not directly affect staff and/or operations.
- Liaise with the Security Unit in the event of critical incidents and potential deterioration of the security situation, and disseminate relevant information.
- Take responsibility for security management and personal safety of team members as applicable in the field.
- Ensure compliance with security policies and plans.
- Read and understand all Security documents relevant to operations, including SOPs, the Country Security Plan, and training completion records.
Education and Work Experience Requirement
- MSc, BSc or BA in Business Administration, Social Sciences, or its recognized equivalent
- Certified member of the Chartered Institute of Personnel Management is a plus
- At least 3 - 6 years of prior experience working in a human resources unit is required
- At least 2 years of managerial experience is an advantage
Skills and Competencies Requirement
- Preferably a candidate already based in the state or willing to relocate to the state where we are hiring.
- Detail-oriented and diligent professional
- Process-oriented with some understanding of legal and logistics processes
- Good networks and contacts in Northwest Nigeria and the ability to leverage them for recruitment
- Good organizational skills, effective time management, ability to meet deadlines, multitask, and prioritize tasks
- Sound cultural awareness and ability to work in a multicultural and multiethnic environment
- Proven managerial and/or leadership skills
- Ability to deliver high-quality work in short periods of time and to work under pressure
- Critical thinker and possesses a problem-solving attitude
- Passion to help others and reduce infant mortality
- Excellent communication and writing skills, English, Hausa and dialects (verbal and written)
- Excellent responsiveness to email and phone requests
- Proficiency in MS Word, MS Excel, MS PowerPoint, internet browsers, smartphones, and ICT in general. The candidate should be willing to use Google Doc, Google Sheet and Google Slides.
- Motivation to work in a young organization that is constantly changing based on stakeholder feedback and operates with a lean structure
Language Requirement
- Proficiency in the English language (conversation, reading, and writing) is required
- Knowledge of the Hausa language (conversation and reading) is an advantage
