    Who We Are:

Nightingale Veterinary Partners is a fast-growing family of veterinary practices, headquartered in New York City. The organization includes practices in New York, New Jersey, Connecticut, Pennsylvania, Rhode Island, and Massachusetts.

We are building a company focused on clinical excellence, sustainable growth, and long-term value creation. As we continue to grow, we are seeking a Compliance Program Coordinator who wants to play a meaningful role in shaping the organization's future.

We are seeking an organized, proactive Compliance Program Coordinator to help manage and maintain our legal, regulatory, licensing, and operational obligations.

This cross-functional compliance role combines hands-on responsibility with organization-wide coordination. You will directly prepare and submit compliance filings, registrations, renewals, reports, and other required documentation. You will also partner with Finance, Human Resources, Operations, and other department leaders to identify requirements, communicate upcoming deadlines, monitor progress, maintain documentation, and escalate potential issues for compliance obligations owned by their departments.

    What Success Looks Like:
The Compliance Program Coordinator coordinates compliance efforts across departments. The right person is highly organized, comfortable following up with stakeholders, and able to manage numerous deadlines across multiple departments, business entities, and states.

Success in this role means creating a clear, reliable compliance process that helps every department understand its responsibilities, stay ahead of deadlines, and maintain the documentation needed to demonstrate compliance. Specifically:

    • Maintain an accurate and up-to-date compliance calendar that gives departments sufficient notice of upcoming obligations and deadlines.
    • Clearly communicate department-specific responsibilities and deadlines to leadership.
    • Assign compliance requirements to the appropriate owners and consistently track their progress through completion.
    • Maintain organized and accessible records that are ready for audits, inspections, and internal reviews.
    • Identify deadlines that are at risk of being missed and promptly escalate concerns to the appropriate leaders.
    • Monitor changes in laws, regulations, and industry requirements and communicate relevant updates to affected departments.
    • Coordinate internal reviews, external audits, regulatory inspections, and requests for supporting documentation.
    • Strengthen compliance processes by developing and improving practical workflows, checklists, policies, and tracking tools.
    • Coordinate with outside counsel, consultants, vendors, and regulatory agencies when additional guidance or support is needed.

    Required Qualifications:

    • Bachelor’s degree or equivalent relevant professional experience
    • 2-3+ years of experience coordinating compliance or regulatory requirements, preferably within a health care, veterinary, or other regulated organization
    • Strong organizational and project-management skills
    • Demonstrated ability to manage multiple deadlines and competing priorities
    • Excellent written and verbal communication skills
    • Confidence following up with stakeholders and holding others accountable for agreed-upon deadlines
    • Excellent attention to detail and commitment to maintaining accurate records
    • Sound judgment, discretion, and the ability to handle confidential information
    • Proficiency in Microsoft Office, including Excel, Outlook, Word, and PowerPoint
    • Ability to research requirements, summarize information clearly, and identify when an issue should be escalated

    Preferred Qualifications:

    • Experience coordinating compliance requirements across multiple states is preferred
    • Experience supporting a multi-location or multi-entity organization
