Facility & Maintenance Coordinator - EMEA

About the Role

NinjaOne's Berlin office sits at the heart of Alexanderplatz– a fast-growing hub for our EMEA team. As our Facility & Maintenance Coordinator, you'll be the person who keeps the office running smoothly day to day: from routine upkeep and repairs to coordinating with vendors and making sure the space always feels welcoming, safe, and professional for employees and visitors alike.

This is a hands-on role for someone who takes pride in a well-run building and enjoys being the go-to person when something needs fixing, organizing, or improving.

Location - Berlin, Germany (on-site)

What You'll be Doing

• Own the day-to-day maintenance and upkeep of the Berlin office, including minor repairs, fixtures, furniture, and general building systems
• Conduct regular walkthroughs to identify and resolve maintenance issues before they become problems
• Coordinate with external vendors and contractors (cleaning, HVAC, electrical, plumbing, security) and manage service schedules
• Monitor and maintain office supplies, tools, and maintenance equipment
• Set up and break down meeting rooms, event spaces, and common areas as needed
• Support health, safety, and compliance standards, including fire safety checks and building inspections
• Respond promptly to ad-hoc requests from employees regarding office comfort and functionality
• Assist with office moves, deliveries, and light logistics support
• Keep accurate records of maintenance work, vendor visits, and recurring service needs
• Other duties as needed

About You

• Proven experience in a facility maintenance, building services, or Hausmeister role, ideally in an office or corporate environment
• Practical, hands-on skills across basic electrical, plumbing, and general repair work
• Comfortable coordinating multiple vendors and prioritizing tasks independently
• Reliable, proactive, and detail-oriented — you notice what needs fixing before anyone has to ask
• Strong communicator who works well with employees at all levels
• Fluent in German; working proficiency in English is a plus
• Familiarity with workplace health and safety standards in Germany is an advantage
