The Role

The Executive Assistant will provide comprehensive support to the legal transformation leadership team, including ensuring efficient interaction between the team and all other stakeholders. This role requires a proactive and highly organised individual who has the confidence to make suggestions and own certain projects. Discretion is also vital as this role is privy to confidential information.

Key Responsibilities

• Provide business and administrative support including managing complex diary requirements and tracking actions lists on an ongoing basis
• Maintain calendars, including scheduling meetings, appointments, and travel arrangements. Exercise discretion in committing time and evaluating needs
• Determine priority of matters of attention for the Directors and redirect matters to others to handle, or handle matters personally
• Prepare and edit correspondence, communications, presentations, and other documents on behalf of the leadership team
• Act as a liaison with other departments, facilitating smooth communication and prompt resolution of requests and issues
• Manage the set up and co-ordination of team meetings (including preparing agendas, sourcing presenters, designing slides and running webinars
• Oversee budgets, including being the central point of contact for budget queries.
• Handle confidential information with integrity, discretion, and sensitivity
• Update intranet/Teams pages, including coordinating and posting team updates and regularly updating organisation charts.
• Supporting project administration and reporting requirements
• Organise team social events.
• Process invoices, expense claims and new supplier requests.
• Any other tasks as required by the leadership team.

Key Skills and Experience

• Proven experience (minimum three years) of supporting senior management as an executive assistant or in other secretarial positions.
• Full comprehension of office management systems and procedures.
• Excellent knowledge of MS Office, particularly Excel, Word, and PowerPoint.
• Exemplary planning and time management skills.
• Ability to multitask and prioritize daily workload.
• High level of verbal and written communications skills, and ability to deal with people at all levels within the organisation.
• Discretion and confidentiality.
• An interest in legal transformation work would be beneficial
