PRIMARY FUNCTION
Provides essential support to the Transportation Department and Manager. Acts as the interface between Transportation, Distribution, Ryder, and our Customers. Assist in processing and maintaining paperwork and phone calls for the Transportation department. Assist with communication of driver staff.
SPECIFIC RESPONSIBILITIES
- Verify all BOL for signature and confirm all deliveries are made.
- Process invoices for the Transportation Department and does administrative duties for the Transportation Manager.
- Maintains and updates Ryder files pertaining to repair, maintenance, leases and fuel consumption.
- Responsible for all facets of Orgill’s trailer record and spreadsheet’ Federal, inspections, PM’s,
- Maintain all Transportation files including trip reports, fuel reports, HazMat endorsements, permit books.
- Assist the Transportation Manager with Customer Service add on’s for truck runs.
- Evaluate Samsara ELD frequently to identify driver violations leading to a CDL disqualification.
- Responsible for Onboarding/Orientation of new drivers; reviews policies of Black Book, accident kits, drug and alcohol requirements.
- Handle all phone calls from customers, first point of contact for drivers, sales department and customer service concerning deliveries. Process C.O.D.’s
- Monitors all time cards, and enters all transportation hours and mileage into Kronos.
- Excellent, on-site attendance and predictability a must
- Assist in gathering and processing of Transportation payroll to Human Resources for entry.
- Perform other tasks and duties as assigned in an efficient, effective and cost conscious manner complying with all company policies, rules and regulations. (*Non Essential)
- Report monitoring and notifying manager/supervisors.
- Lytx video alert monitoring
- Assist in coverage in the transportation office when vacations occur.
- Scheduling interviews, scheduling medical DOT physicals and travel arrangements and coordinating start dates for Drivers
- Keeping Ten Street up to date with applicants and coding them and providing information to them to apply online.
- Fleetworthy compliance to ensure everything that is required has been completed and uploaded.
- Coordinating with HR Recruiter to assist in new hire drivers and orientation
- Coordinating with Travelers for Worker’s Compensation
- Assist with Back Hauls
- Excellent communication to notify external customers of any communications on deliveries.
- Administrative work as assigned by Supervisor/Manager.
MINIMUM QUALIFICATIONS
- High School diploma preferred
- Preferred transportation experience and customer service.
- Must be committed to a high standard of safety and comply with all safety policies and practices
- Excellent, on-site attendance and predictability a must; Be able to work overtime when needed
- Demonstrate flexibility with a can-do-attitude and be a team player
- Must have strong computer skills.
- Good math and reading skills
- Excellent customer service and communication internal and external
- Ability to interact effectively with other departments and all levels of management
- Attention to detail essential and demonstrated problem solving skills
- Excellent organizational skills and ability to maintain records accurately
- Demonstrated ability to prioritize work and to meet deadlines
- Previous transportation experience and knowledge of DOT regulations preferred
