The MRI Registration Specialist performs routine clerical duties associated with registering patients, gathering all necessary insurance and demographic information and obtains appropriate referrals or authorization for patient visits. This position works closely with the MRI and registration team leadership to ensure that customer service is first priority at check-in and that all daily tasks are completed in a timely and accurate manner.
Essential Duties and Responsibilities
- Greets and checks in patients to the clinic, ensuring a positive experience from start to finish.
- Provides patients with appropriate paperwork, communicating with the MRI team once a patient is ready.
- Schedules patients for their MRI and follow up appointments with providers accurately.
- Review MRI safety, financial responsibility and appointment details with accuracy, ensuring a positive experience for the patient.
- Strives for excellent customer service by ensuring patients are treated in a professional, courteous manner at all times. Monitors the lobby to ensure patients are being accommodated. Keeps patients apprised of estimated waiting times. Offers assistance if patients encounter difficulties.
- Registers patients, ensuring all necessary information is accurate and up to date, including but not limited to, insurance, body part ordered, name, date of birth, etc.
- Research insurance information provided by patient in order to clearly identify participation with OCR and referral requirements.
- Maintains patient confidentiality, adhering to HIPAA regulations.
- Handle payments and process financial transactions accurately.
- Enter patient information into IRIS with accuracy, document appropriate information in Athena.
- Manages incoming phone calls, answers, screens, and forwards to the appropriate location.
- Checks voicemails throughout the day, directing the message to the applicable department.
- Prepare patient charts for the next day schedule according to the proper established guidelines.
- Reviews the MRI schedule, ensuring accuracy for coding purposes.
- Processes medical records requests, outside MRI reports, and incoming faxes when needed.
