    Job Summary

    The Human Resources Assistant I position provides assistance to the Human Resources team while also serving the Office Administrator duties. This position also provides full administrative support to both office and shop operations. This role serves as the first point of contact for visitors and employees, ensuring smooth communication, and coordination of HR-related tasks. The position plays a key role in maintaining a professional and welcoming environment while supporting internal teams with a variety of operational needs.

    Key Responsibilities

    Office Administration

    • Provide administrative support to all office personnel.
    • Schedule internal and external meetings and coordinate catering as needed.
    • Maintain and troubleshooting general office equipment, coordinate service calls when necessary.
    • Assist with company events (e.g., annual picnic, year-end meetings).
    • Order and manage office supplies; maintain cleanliness and organization of shared spaces (fax/copy room, kitchen).
    • Handle all incoming and outgoing mail, including UPS shipments.
    • Answer and direct incoming calls for all office locations.
    • Greet and assist visitors, ensuring they are directed to the appropriate contact or location.
    • Coordinate hotel accommodation for visiting employees and guests.
    • Manage building cleaning and maintenance vendors.
    • Order supplies for the production office and shop.
    • Handle sensitive and confidential information with discretion and professionalism.
    • Manage phone and iPad request for all staff requiring devices.
    • Perform all other duties as assigned.

    Translation & Communication

    • Coordinate with in-house translators to ensure accurate translation of documentation for shop use.
    • Facilitate effective communication between manufacturing teams and other departments.
    • Proofreading and translating documents in multiple languages for accuracy and clarity.

    Human Resources Support

    • Assist with office and shop onboarding, benefits enrollment, and documentation collection.
    • Support and file digital HR documents by scanning, naming, and uploading documents.
    • Communicate “news worthy” information for monthly QBR meetings in shop.
    • Hold meetings with employees to communicate upcoming benefit changes or other updates.
    • Attend university, college, and trade school career fairs to help recruit talent for office and shop.
    • Schedule, interview, and follow-up with candidates for office and shop needs.
    • Ensure schedules and workspace are ready for office staff starting on Day 1.
    • Administers 30-day shop reviews.
    • New hire reporting.
    • Field onboarding.

    Qualifications

    • High School Diploma required; Associate’s Degree preferred.
    • Bilingual in English and Spanish required.
    • Minimum 5 years of experience using Microsoft Office (Word and Excel).
    • At least 4 years of relevant HR and/or administrative experience.
    • Strong communication and conflict resolution skills.
    • Demonstrated commitment to excellent internal and external customer service.
    • Ability to manage multiple tasks under time constraints and shifting priorities.
    • Strong organizational skills and attention to detail.
    • Valid driver’s license and compliance with company driving policies.
    • Ability to travel up to 5%.
