    Job description

    Could you be the friendly and organised person who helps make every patient journey run smoothly?

    We’re looking for a Patient Coordinator to join our welcoming team at Portman Smile Clinic in Truro. Working within a busy mixed orthodontic practice with 4 surgeries, you’ll be an important part of the patient journey, supporting new patient enquiries, appointments and day-to-day administration.

    You’ll be primarily based in Truro, with occasional support at our sister Portman Smile Clinic in St Austell.

    • Part-time – 32 hours per week, across 4 days
    • Typical hours: Monday to Friday, 8:00am–5:00pm
    • Occasional late Monday: 8:00am–7:00pm
    • Occasional Saturday cover
    • Salary from £14.50 per hour
    • Mixed orthodontic practice with 4 surgeries
    • Primarily based in Truro, with occasional support at our sister practice in St Austell
    • On-site parking available, with additional parking nearby

    About the Role

    As a Patient Coordinator, you’ll play a key role in supporting our patients from their first enquiry through to their ongoing care. You’ll manage private new patient enquiries, coordinate appointments and provide a friendly and professional point of contact for patients.

    Alongside patient coordination, you’ll provide administrative support to the Practice Manager and wider practice team, helping to keep the practice organised and running smoothly.

    This is a varied role where you’ll have the opportunity to work across patient administration, practice systems, reporting, financial administration and general business support.

    What You'll Be Doing

    • Managing private new patient enquiries, appointment bookings and follow-ups
    • Providing day-to-day administrative support to the Practice Manager and wider practice team
    • Managing emails, correspondence, records and routine administrative requests
    • Supporting patient enquiries, feedback and correspondence
    • Maintaining accurate and up-to-date patient and practice records
    • Using the dental management system and other practice systems
    • Preparing reports, spreadsheets and business information
    • Supporting financial administration, including invoices, banking and patient account administration
    • Collating information for meetings, reviews and reporting
    • Supporting NHS administration where applicable
    • Working with colleagues and external stakeholders in a professional and helpful manner
    • Escalating issues appropriately to the Practice Manager

    About You

    We’re looking for someone who is organised, approachable and confident working with both patients and colleagues. You’ll be comfortable managing a varied workload and taking ownership of your responsibilities.

    You’ll ideally have:

    • Previous experience in a dental, healthcare, administration or customer service environment — although strong transferable experience will also be considered
    • Excellent organisational skills and the ability to manage multiple tasks
    • Strong attention to detail and accuracy
    • Confidence using IT, spreadsheets and databases
    • Clear and professional communication skills
    • A reliable, proactive approach and the ability to work to deadlines
    • The ability to handle confidential and sensitive information appropriately
    • A professional and approachable manner when dealing with patients and colleagues
    • The ability to work independently while knowing when to seek guidance or escalate an issue
    • GDC registration is desirable but not essential
