    POSITION SUMMARY:

    The Payroll Specialist is responsible for accurately processing full-cycle, biweekly payroll for employees across multiple Roeslein entities. This position works closely with Accounting and Human Resources to manage payroll changes, timecards, deductions, garnishments, prevailing wage requirements, reconciliations, tax filings, and year-end reporting. The Payroll Specialist also supports general ledger activities, payroll audits, and employee inquiries while maintaining confidentiality and compliance with applicable payroll requirements.

    Responsibilities

    • Process full-cycle, biweekly payroll for exempt and non-exempt employees, including off-cycle payments, retroactive adjustments, and manual corrections.
    • Process employee payroll changes, including new hires, terminations, wage increases, and final pay calculations.
    • Calculate and prepare required filings and documentation to meet prevailing wage requirements.
    • Process wage garnishments, levies, and other court-ordered deductions accurately and timely.
    • Manage the timecard process, including reviewing time entries and processing necessary adjustments.
    • Review payroll changes and compensation adjustments for accuracy prior to processing.
    • Ensure benefits, insurance premiums, leave deductions, and other payroll deductions are accurately processed.
    • Research and resolve payroll discrepancies and respond to employee questions regarding pay, deductions, and payroll-related matters.
    • Coordinate payroll corrections with Human Resources, Accounting, management, and other appropriate personnel.
    • Maintain the confidentiality of employee and payroll information.
    • Prepare and ensure accurate posting of payroll journal entries to the general ledger.
    • Support internal and external payroll audits, including preparing requested reports and documentation.
    • Assist with responses to payroll-related inquiries from federal, state, and local agencies, as applicable.
    • Ensure quarterly payroll tax returns and year-end Forms W-2 prepared by third-party providers are completed and filed timely.
    • Complete employment and wage verifications as requested.
    • Build and maintain effective working relationships with employees across all company locations.

    OTHER DUTIES AND RESPONSIBILITIES:

    • Conduct activities in a safe and healthy manner and work in accordance with established safety and company requirements.

    Qualifications

    • High school diploma, GED, or equivalent required.
    • At least one year of payroll processing experience preferred.
    • Experience with UKG Ready, Oracle, or a similar payroll or HRIS system preferred.
    • Payroll training or previous experience in a payroll processing environment preferred.
    • Working knowledge of payroll practices, payroll deductions, garnishments, timekeeping, and recordkeeping.
    • Experience with prevailing wage and certified payroll requirements preferred.
    • Proficiency in Microsoft Excel, including the ability to create pivot tables and VLOOKUPs.
    • Strong attention to detail and commitment to accuracy.
    • Strong analytical and problem-solving skills.
    • Ability to manage recurring deadlines, prioritize responsibilities, and follow established processes.
    • Ability to maintain confidentiality and appropriately handle sensitive employee and payroll information.
    • Strong organizational and time-management skills.
    • Effective written and verbal communication skills.
    • Ability to learn new systems, processes, and procedures.
    • Proficiency with Microsoft Windows-based programs and standard office applications.
    • Ability to effectively interact and build professional working relationships with employees, managers, vendors, and other business contacts.
    • Ability to adapt to changing priorities and business needs.
    • Must conduct business in accordance with Roeslein & Associates' core values and established company policies and procedures.
