Position Summary
The Director of Maintenance is a working supervisory position responsible for the hands-on maintenance, repair, and upkeep of the 14 acre campus, including the Parish, School, and Daycare buildings, grounds, equipment, and building systems, as well as the day-to-day leadership of maintenance, shared custodial, landscaping, and contracted operations. The position performs maintenance work directly, including troubleshooting, repairs, preventive maintenance, response to work orders and facility needs, and participation in improvement projects across the whole campus which includes 13 structures. The Director also schedules, assigns, prioritizes, monitors, trains, and provides day-to-day direction to shared custodial staff and monitors contracted employees and service providers, while serving as a practical and technical resource to the Director of Operations.
This position supports the mission of Saint Gregory the Great Catholic Parish, School, and Daycare by helping provide safe, functional, clean, and welcoming facilities across the whole campus for worship, education, childcare, ministry, community activities, and daily operations.
The Director of Maintenance works very closely with the School Principal, Pastor, and Director of Operations to coordinate campus priorities, communicate facility impacts, address safety and operational concerns, schedule work, and minimize disruption to Parish, School, Daycare, worship, educational, childcare, and ministry activities. The Director also works regularly with shared custodial staff; assigned maintenance personnel; School and Daycare employees; clergy; parish and ministry personnel; contracted employees and service providers; parishioners; students; families; and visitors.
Essential Duties and Responsibilities:
1. Maintenance & Repairs
• Performs general repairs throughout the Parish, School, Daycare, and the whole campus involving plumbing, electrical components, carpentry, doors and hardware, fixtures, painting, furniture, equipment, and other building components within the scope of training and experience.
• Responds to work orders, urgent maintenance issues, equipment failures, safety concerns, and other facility needs.
• Performs preventive maintenance and routine servicing of building equipment and systems.
• Participates directly in facility improvements, installations, setups, equipment moves, and other physical maintenance work.
• Determines when work can be completed in-house and when a specialized contractor is needed.
2. Staff Supervision & Scheduling
• Supervises the day-to-day work of maintenance and shared custodial personnel.
• Develops employee schedules and coordinates coverage for regular operations, absences, special events, seasonal demands, and emergencies.
• Assigns and prioritizes work and ensures responsibilities are completed efficiently and on schedule.
• Monitors employee productivity and the quality of completed work through regular observation and inspection.
• Provides hands-on direction, training, coaching, and corrective guidance to staff.
• Addresses routine performance concerns and works with the Director of Facilities & Operations when further corrective action is necessary.
3. Buildings, Grounds & Campus Operations
• Regularly inspects buildings, grounds, equipment, and building systems to identify maintenance needs, deterioration, hazards, and other concerns.
• Helps ensure campus standards for maintenance, cleanliness, safety, functionality, and appearance are consistently maintained.
• Monitors HVAC, plumbing, electrical, fire/life-safety, security, and other facility systems and coordinates needed service or repair.
• Maintains appropriate inventories of tools, equipment, maintenance materials, and supplies.
• Coordinates facility needs across the Parish, School, Daycare, and whole campus, including ministry activities, special events, and seasonal operations.
4. Contractors & Projects
• Monitors and ensures contracted employees, maintenance vendors, custodial providers, landscaping providers, pest-control providers, and other facility contractors and service providers meet established expectations for performance, conduct, safety, scheduling, access, and quality and reports performance concerns to the Director of Facilities & Operations.
• Provides technical and practical input regarding scopes of work, proposed repairs, materials, equipment, and project methods.
• Assists with facility repair, improvement, renovation, and replacement projects as assigned.
• Monitors work in progress and helps ensure satisfactory completion.
5. Planning, Records & Administration
• Provides recommendations regarding maintenance priorities, repair-versus-replacement decisions, equipment condition, staffing needs, and anticipated facility needs.
• Maintains appropriate maintenance, inspection, equipment, warranty, repair, and service records.
• Helps ensure maintenance operations comply with applicable safety, building, fire/life-safety, diocesan, and other requirements.
• Performs other duties as assigned by the Director of Operations.
• Uses an established work-order or maintenance-management process to document requests, priorities, status, completion, labor or material information, and recurring issues.
• Follows applicable lockout/tagout, ladder, personal protective equipment, chemical-handling, hazardous-material, and other workplace safety procedures; promptly reports incidents, hazards, and near misses.
• Maintains required keys, access devices, tools, equipment, purchasing documentation, and other parish property in a secure and accountable manner.
• Partners with the Director of Operations on emergency preparedness, weather response, continuity of operations, and facility-related drills or inspections.
• Protects confidential or sensitive information encountered while working in offices, School and Daycare spaces, records areas, and other restricted locations.
Supervisory Responsibility
This is a working supervisory position. The Director of Maintenance performs maintenance work and provides direct day-to-day supervision of assigned maintenance and shared custodial personnel. Duties include scheduling, work assignment, setting expectations, monitoring productivity and quality, coaching and training, coordinating coverage, and addressing routine performance concerns. The Director also monitors all contracted employees, contractors, and service providers performing facilities, custodial, landscaping, pest-control, or related work across the campus.
Decision-Making Authority
Reporting to the Director of Operations, the Director of Maintenance may organize and direct routine maintenance, shared custodial, contracted, and grounds operations and make day-to-day decisions necessary to address maintenance and repair needs within established policies, priorities, and approved resources. Significant expenditures, major contracts, compensation decisions, hiring or termination decisions, major disciplinary actions, changes in departmental priorities, and other matters with substantial financial or operational impact are referred to the Director of Operations and the Pastor for approval.
• Significant hands-on experience in building maintenance, facilities operations, construction, or a related trade or field.
• Demonstrated ability to perform and troubleshoot a broad range of general building maintenance and repair work.
• Previous supervisory or leadership experience in a maintenance or facilities environment.
• Working knowledge of HVAC, electrical, plumbing, carpentry, doors and hardware, painting, grounds maintenance, custodial operations, general building repair, tools, and related safety practices.
• Technical education, trade training, professional certification, or college coursework in facilities management, maintenance, engineering, construction, or a related field preferred; equivalent experience may be considered.
• Ability to diagnose facility problems, determine appropriate in-house repairs, recognize when specialized service is required, establish priorities, and make sound operational recommendations.
• Experience coordinating contractors and service providers.
• Strong organizational, communication, leadership, scheduling, and problem-solving skills.
• Ability to balance hands-on maintenance work with supervisory and administrative responsibilities and coordinate multiple activities and projects simultaneously.
• Ability to work effectively in a parish and school environment and interact professionally with employees, clergy, school personnel, contractors, parishioners, students, families, and visitors.
• Basic proficiency with computers and electronic maintenance or work-order systems.
• Valid driver’s license and acceptable driving record.
• Ability to satisfy applicable diocesan safe-environment, background-screening, and training requirements.
• A practicing Catholic in good standing is preferred but not required.
Working Conditions
• Work is performed throughout a multi-building Parish, School, and Daycare campus in indoor and outdoor environments and around mechanical equipment.
• The position may respond to facility needs that arise outside normal business hours.
• This is a full-time position based on a 40-hour work week, with occasional additional hours required to support special events, emergencies, or operational needs.
• May be exposed to weather, temperature extremes, dust, noise, odors, chemicals, heights, confined or restricted work areas, and active construction or repair conditions; appropriate safety practices and protective equipment are required.
• The Church provides vehicles for maintenance, facilities, and custodial work.
Physical Demands
• Ability to perform physical activities commonly associated with building maintenance and repair, including standing, walking, bending, reaching, climbing, working from ladders, and using hand and power tools.
• Ability to lift, carry, move, and position tools, supplies, equipment, and materials consistent with the essential functions of the position.
• Ability to move throughout a multi-building campus and work in indoor and outdoor environments and around mechanical equipment.
• Ability to perform the essential functions of the position with or without reasonable accommodation.
• Ability to routinely lift and carry up to 25 pounds and occasionally lift and carry up to 50 pounds, with assistance or appropriate equipment for heavier items.
• Ability to climb ladders, work at heights, kneel, crouch, bend, and work in confined or restricted spaces as necessary to perform maintenance and repair duties.
