AI Enabled Executive Assistant

This role is open to candidates based in LATAM, Africa, and Eastern Europe. Please note that as this role supports U.S.-based clients, candidates must be available to work during U.S. business hours aligned with the client’s time zone.
Our client is a personal care products company that develops consumer brands for mass retail and professional channels. As the organization continues investing in AI across the business, they are seeking an AI-Enabled Executive Assistant to become the CEO's trusted operational partner and help apply AI tools to solve real business challenges while supporting the company's long-term AI strategy.
ROLE OVERVIEW
The AI-Enabled Executive Assistant will work directly with the CEO as a trusted operational partner, helping translate business priorities into AI-powered solutions that improve efficiency and decision-making.

The AI-Enabled Executive Assistant will leverage AI tools, no-code/low-code platforms, and strong business judgment to build practical workflows, support forecasting initiatives, and identify opportunities to apply AI across the organization. This role is ideal for someone who enjoys solving business problems with AI, thrives in fast-paced environments, and wants to help build an AI-enabled organization from the ground up.

Fully Remote (Work from Home) | 9:00 AM – 5:00 PM PST
KEY RESPONSIBILITIES
EXECUTIVE SUPPORT & BUSINESS PARTNERSHIP
- Work directly with the CEO as their primary AI-enabled operational partner.
- Translate business priorities into practical AI-powered workflows and solutions.
- Partner with leadership on AI-driven initiatives, including forecasting and operational projects.
- Identify opportunities where AI can improve business processes and execute solutions from concept through implementation.
AI TOOLS & WORKFLOW IMPLEMENTATION
- Utilize Claude and other AI tools to solve operational and business challenges.
- Build practical no-code and low-code AI workflows and agents.
- Apply AI across multiple business functions to improve efficiency and productivity.
- Continuously evaluate emerging AI tools and recommend new applications for the business.
BUSINESS ANALYSIS & PROCESS IMPROVEMENT
- Analyze business processes and identify opportunities for automation and optimization.
- Support forecasting initiatives using inventory and operational data.
- Apply strong business judgment to determine the most effective AI solution for each challenge.
- Continuously improve workflows and operational systems using AI-enabled solutions.
TEAM GROWTH & CROSS-FUNCTIONAL COLLABORATION
- Support the organization's long-term vision of building an AI-enabled team.
- Collaborate with internal technical teams while focusing on business implementation rather than software development.
- Help establish operational foundations for future AI-focused hires.
- Work cross-functionally with Finance, Operations, Marketing, and other departments as AI initiatives expand.
QUALIFICATIONS
EXPERIENCE
- 3 years of experience using Claude and other AI tools to solve business or operational challenges.
- Experience building AI workflows using no-code or low-code platforms.
- Experience applying AI solutions to improve business processes or productivity.
- Experience supporting executives, founders, or leadership teams is highly preferred.
- Previous experience within a D2C or consumer products company is a plus.
SKILLS
- Deep working knowledge of Claude, AI agents, and modern AI productivity tools.
- Strong business acumen with the ability to connect business challenges to AI solutions.
- Advanced Microsoft Excel or Google Sheets skills, including formulas and functions.
- Strong analytical and problem-solving abilities.
- Excellent written and verbal English communication skills.
- Ability to independently prioritize projects and execute with minimal oversight.
- Curious mindset with a passion for learning emerging AI technologies.
- Experience using Claude, ChatGPT, Microsoft Excel, Google Sheets, Google Workspace, and no-code/low-code AI automation platforms.
