Operational Coordination Specialist

We’re looking for a highly organized and proactive Operational Project Manager to help drive operational excellence across our growing international teams. In this role, you will be responsible for coordinating cross-functional activities, supporting process standardization, and ensuring that critical initiatives move from planning to successful execution.

Location: ONLY Lviv (on-site)

Key Responsibilities:

• Coordinate the rollout and continuous improvement of operational processes across multiple teams and locations.

• Facilitate the onboarding process for new employees, ensuring they quickly integrate into established workflows, procedures, and performance standards.

• Assist with planning and execution of industry events, customer visits, demonstrations, presentations, and other external activities, while coordinating with partners, organizers, and host organizations.

• Coordinate operational and logistical activities for geographically distributed teams, including equipment deliveries, documentation management, and readiness planning.

• Support international shipment and export activities, including preparation of required documentation and coordination of compliance-related processes.

• Monitor project progress, operational deliverables, required documentation, and adherence to internal procedures.

• Proactively identify process inefficiencies, communication gaps, or execution risks and coordinate actions to address them.

• Ensure initiatives move forward effectively by tracking ownership, deadlines, dependencies, and expected outcomes.

Required Skills & Experience:

• 3+ years of experience in operations, project coordination, program support, or other roles involving cross-functional collaboration.

• Upper-Intermediate English (B2+) with the ability to communicate effectively with international colleagues, customers, and partners.

• Strong planning, prioritization, and multitasking skills with the ability to manage several workstreams simultaneously.

• Proven experience working across multiple departments and aligning stakeholders around shared objectives.

• Understanding of logistics coordination, international operations, and administrative processes.

• Strong sense of responsibility, ownership, and commitment to delivering results.

• Ability to work effectively in fast-paced environments where priorities can shift quickly.

• Excellent interpersonal, communication, and stakeholder engagement skills.

Nice to Have:

• Experience collaborating with globally distributed or remote teams.

• Background in organizational development, process optimization, or operational scaling initiatives.

• Familiarity with export compliance, dual-use regulations, or international hardware logistics.

• Experience working in defense technology, hardware development, engineering, manufacturing, or other highly technical environments.
