Document Control Analyst, Delivery Program

THE POSITION:

The Document Control Analyst will strengthen document governance across the Delivery Program PMO and project portfolio. This role owns the day-to-day administration and quality of the Center of Excellence document library, supports project teams in applying established document-control standards, and helps ensure records remain complete, current, accessible, and audit-ready throughout the project lifecycle.

The successful candidate brings practical experience with engineering, architectural, and construction documentation and is comfortable working across SharePoint, Procore, and evolving document-management platforms. They will pair rigorous controls with responsive support and training for internal teams and external project participants. Responsibilities of the Document Control Analyst include but are not limited to:

• Establish a reliable, governed source for PMO policy, process, procedure, templates, and project-delivery documentation.
• Improve consistency in how project teams organize, name, revise, retain, and retrieve records across the lifecycle.
• Give Delivery Program leadership meaningful visibility into documentation quality, compliance, and corrective actions.
• Enable project teams and partners to use the right platform and workflow for design, construction, and controlled records.

Document Control and Library Administration

• Administer, maintain, and continuously improve the Center of Excellence document library, including controlled policy, process, procedure, template, and reference materials.
• Set up, manage, and maintain document-control systems and project records for historical, incoming, and outgoing documentation across the project portfolio.
• Apply the Document Control Plan, project folder structure, file naming conventions, retention requirements, and revision-control standards.
• Coordinate document intake, identification, distribution, revision, archival, and retrieval; maintain accurate document registers and revision histories.
• Review documents and records for accuracy, completeness, metadata, naming, version status, and appropriate storage location before publication or formal issue.

Project Team Governance and Support

• Provide hands-on guidance to project teams on practical application of document-control standards and approved systems.
• Support the controlled management of design documents, drawings, specifications, RFIs, submittals, meeting records, change documentation, closeout records, and related project files.
• Conduct routine audits and quality checks across active projects; document findings, track corrective actions, and escalate recurring compliance risks.
• Partner with project leadership, design, construction, controls, commissioning, and external partners to resolve document-control issues and improve working practices.
• Maintain internal process documentation and job aids, and recommend updates when project needs, systems, or governance requirements change.

Systems Enablement and Continuous Improvement

• Serve as a subject matter expert for implemented document-control platforms, including SharePoint and Procore, and help evaluate or adopt future data-management capabilities.
• Train new and existing users on folder structures, naming conventions, revision controls, and appropriate system use.
• Prepare routine reporting on document quality, audit results, adoption, exceptions, and corrective-action status.
• Identify opportunities to simplify workflows, reduce duplication, improve searchability, and strengthen record integrity.
• Perform general administrative responsibilities within the document-control function, including data entry, reporting, and user support.

THE DETAILS:

• Any STACK data center location
• Travel: Up to 25%
• Must be eligible to work in the United States
• Must pass a comprehensive drug and background screening

MUST-HAVE QUALIFICATIONS:

• 4+ years of document control experience supporting engineering, architectural, construction, infrastructure, or similarly technical project environments, including independent responsibility for document registers, revision control, audits, and project-team support.
• Working knowledge of construction and design documentation, including drawings, technical specifications, RFIs, submittals, revisions, and transmittals.
• Experience with Procore, SharePoint, and document-control systems comparable to Autodesk Forma Data Management.
• Strong organizational skills with demonstrated attention to detail, follow-through, and sound judgment in managing controlled records.
• Clear written and verbal communication skills and confidence training users with varied technical backgrounds.

PREFERRED QUALIFICATIONS:

• Bachelor’s degree in a related field.
• 5+ years of experience supporting complex, multi-project capital programs, with demonstrated experience administering SharePoint and Procore document-control practices, training users, and conducting documentation compliance audits.
• Familiarity with document-control governance, quality assurance, retention practices, and audit processes.
• Ability to interpret technical terminology and collaborate effectively with design, construction, and project-delivery teams.

Compensation Range:

$72,000.00 - $79,000.00
