Your Responsibilities as a Vehicle Administrator:
- Managing vehicle orders from initial order through to invoicing and delivery and flagging any issues that could affect timescales
- Processing and maintaining accurate vehicle, customer, stock and order information across our DMS and manufacturer systems
- Checking vehicle availability, order status and expected delivery dates
- Liaising with manufacturers, leasing companies, customers and internal teams to keep orders progressing
- Coordinating vehicle preparation, registration, road tax and pre-delivery administration
- Checking deal files and documentation to ensure everything is complete, accurate and compliant before invoicing
- Supporting fleet, business and employee vehicle schemes where required
- Providing Sales Management with updates on vehicle and order status
- Ensuring customer and vehicle information is handled in line with UK GDPR and company requirements
- Supporting colleagues during busy periods and contributing ideas to improve and simplify our processes
What we are looking for in a Vehicle Administrator:
We’re looking for someone who is organised, accurate and comfortable working in a fast-paced automotive environment.
You’ll ideally have experience in vehicle administration, sales administration, dealership administration, fleet administration or a similar automotive role, with an understanding of the vehicle order-to-delivery process.
You’ll need to be:
- Highly organised with excellent attention to detail
- Confident using computer systems and working across multiple platforms
- Comfortable communicating with colleagues, manufacturers, customers and external partners
- Able to manage competing priorities and meet deadlines
- A team player who is happy to support colleagues when needed
- Proactive, with a focus on getting things right first time
- Customer-focused and professional in your approach
