    What You'll Be Doing

    Stifel Canada is looking for a highly motivated full-time Investment Banking Executive Assistant to provide high-level administrative support and customer service to the Head of Investment Banking. The Assistant will be responsible for performing an array of administrative functions including, but not limited to providing support for professional tasks requiring confidentiality, initiative, and sound decision making.  The ability to interact with staff (at all levels) in a fast-paced environment, remaining flexible, proactive, resourceful and efficient, with a high level of professionalism is crucial to this role. You will need to adapt procedures, processes, and techniques for the completion of assignments and in line with the department’s activities and goals.

    Salary range: $75,000 – $85,000 annually.

    The base pay offered will be determined based upon the candidate's skills and experience, job-related knowledge, and other specific business and organizational needs.

    What We're Looking For

    The Executive Assistant will be responsible for the following tasks:

    • Perform administrative duties, including multi-calendar management, filing, mailing, creating and maintaining records, and miscellaneous administrative support as needed;
    • Providing support for professional task upon request;
    • Coordinate and organize business meetings, conferences, presentations and client events;
    • Prepare agendas and material;
    • Ensure Head of Investment Banking is well prepared for meetings and provide pre-briefings if needed;
    • Manage executive email inbox and respond as required;
    • Coordinate complex air and ground travel arrangements and scheduling;
    • Prepare monthly expense reports and other monthly reporting duties;
    • Prepare client invoices;
    • Liaising with staff and clients. Taking notes and writing minutes during meetings;
    • Prepare deal-related correspondence;
    • Maintain multiple extensive contact databases;
    • Client interfacing where required, and handling of general email and phone inquiries;
    • At all times remind and update about important tasks and deadlines; and
    • Various business and ad hoc request may be assigned from time to time.

    • Knowledge of capital markets and the financial services industry would be an asset;

    • Quick learner, with good ability to grasp new information;

    • Extremely high level of discretion and confidentiality, both in and out of the office;
    • Ability to work under a high pressure and time sensitive environment;
    • Well-developed time management skills;
    • Meticulous attention to detail and critical thinking skills;
    • Strong multi-tasking ability complemented by excellent prioritization and organization skills;
    • Teamwork skills complemented by the ability to work independently, and initiative taking; and
    • Desire to join and help build a winning team.

    Education & Experience

    • Minimum three years prior executive assistant work experience in investment banking or management consulting.

    Systems & Technology

    • Proficient in Microsoft Outlook, PowerPoint, Excel and Word; and
    • Proficient in Zoom.
